Position : Administrative Assistant (AA) – Institute for the Wireless Internet of Things (WIoT), Northeastern University
About the Opportunity
The Institute for the Wireless Internet of Things (WIoT) seeks an Administrative Assistant (AA). The role reports directly to the Associate Director of Administration and Finance and supports the Institute Leadership Team in administrative support, office management, project and portfolio management.
Key Responsibilities
Manage calendars, schedule meetings, conference calls, and appointments for the Institute Leadership Team.
Prepare draft materials, proofread and edit emails, documents, presentations, and reports, and record minutes during meetings.
Maintain files, manage information flow to/from leadership offices.
Coordinate planning and logistics for meetings and special events including space reservation, catering, and set‑up.
Act as liaison between leadership and other departments; primary contact for inquiries from internal and external stakeholders.
Assist with travel arrangements, submit travel expenses promptly.
General office management: maintain office area and student conference space, inventory supplies, onboarding of new faculty, staff and students.
Front‑line visitor reception as needed; maintain rapport with university community.
Perform additional duties and special projects as assigned.
Qualifications
Professional, with excellent written and verbal communication skills, strong multi‑tasking, organizational, and time‑management skills.
Strong writing, editing, proofreading skills, attention to detail, flexibility, positive attitude, and efficient work in a busy environment.
Excellent prioritization of competing tasks and projects.
Judgment and discretion in safeguarding confidentiality of sensitive information.
Ability to adapt in a changing, complex environment while maintaining values and culture.
Analytical and problem‑solving skills; ability to bring tasks and projects to completion.
Customer‑oriented; works well with all levels of internal management, staff, external clients and vendors.
Proficient in Concur Expense Reporting system.
Bachelor’s degree in Business Administration, Management or related field.
Minimum 3‑5 years of progressively responsible experience in a professional or college/university setting with administrative support, executive assistance, office management, and finance/budget management.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, SharePoint) and ability to learn new technology quickly.

Compensation
Grade/Pay Type: 106H
Expected Hiring Range: $23.02 – $31.66 per hour.
