Key Responsibilities of the Entry-Level AP Accountant: Process Vendor Invoices: Accurately enter and code invoices in the accounting system, ensuring proper approvals and adherence to company policies. Match, Batch, and Code Payments: Verify invoice details against purchase orders and receiving reports before processing payments. Prepare and Process Payments: Schedule and issue payments via check, ACH, or wire transfer while adhering to due dates and cash flow guidelines. Maintain Vendor Records: Set up and update vendor accounts, ensuring correct tax documentation (e.g., W-9s) and payment terms are on file. Reconcile Accounts: Regularly reconcile accounts payable ledger to ensure all bills and payments are accounted for and properly posted. Resolve Discrepancies: Communicate with vendors and internal teams to resolve invoice or payment discrepancies in a timely manner. Support Month-End Close: Assist with accruals, aging reports, and other tasks to support accurate month-end and year-end close processes. Maintain Filing Systems: Organize and maintain both digital and physical invoice/payment records for easy access and audit readiness. Ensure Compliance: Follow company policies, procedures, and controls to support financial accuracy and integrity.
