Position Summary: Augustana University invites applications for a detail-oriented and dependable Office & Scheduling Coordinator to support the Division of Student Affairs. This full-time hourly position plays a key role in providing administrative support and coordinating the daily functions of a busy office. The individual will also support scheduling and event logistics across campus, serve as a welcoming point of contact, and assist in maintaining efficient operations for students, faculty, staff, and visitors. Key Responsibilities: Administrative & Office Coordination Maintain a professional, friendly, and organized office setting for all visitors and stakeholders.
Schedule appointments and meetings for staff in the Student Affairs Division.
Supervise and train student work-study assistants.
Manage the university ID card system.
Coordinate administrative tasks including data entry, records tracking (e.g., health and emergency contacts), and internal communication.
Forward approved expenses and documentation to the Business Office for payment.
Handle sensitive and confidential information appropriately and in compliance with FERPA.
Campus Scheduling Support Review and track all requests for scheduling of campus space, including student events, meetings, weddings, summer camps, and off-campus group rentals.
Communicate with campus staff, including Dining Services and Campus Safety, to ensure successful event coordination.
Support internal users in using the campus scheduling software and assist with occasional training or troubleshooting.
Prepare basic contracts for off-campus groups and assist with invoice processing and payment tracking in collaboration with the Business Office.
Help coordinate logistics for summer camps, conferences, and campus visit events.
Minimum Qualifications: Bachelor’s degree or a combination of education, training, and experience that provides the skills needed for the role.
Experience in an administrative, scheduling, or customer service capacity.
Strong organizational and communication skills.
Proficiency with Microsoft Office, particularly Excel and Word.
Preferred Qualifications: Familiarity with Jenzabar or similar
database/scheduling
systems.
Experience working in a university or similar environment.
Interacting with students, faculty, and leadership with different backgrounds and points of view—and a deep appreciation of and respect for academic values and culture—must be a top value of the candidate.
