Job Description
Provide administrative and clerical support to the Chief Operating Officer. This position involves high level contact and requires effective communication with senior management, as well as upper-level department management throughout the company.
The ideal candidate for this role is a quick learner with the ability to train/learn company procedures quickly. Due to the highly sensitive information discussed in this department, this position requires an individual with the ability to maintain strict confidentiality. You will also be required to use considerable amount of tact, diplomacy, discretion, and judgement. A significant portion of the job will require you to use planning, coordinating, and making domestic travel arrangements that are frequently subject to last minute changes. Additional responsibilities include but are not limited to preparing correspondence and presentation materials; organizing and coordinating in-house and off-site meetings, and videoconferences; prioritizing and handling of all incoming email, mail, faxes and telephone calls, scheduling of appointments and maintaining Microsoft Outlook calendar. The ideal candidate must have flexibility to work overtime, including evenings, and weekends as needed, with occasional domestic travel.
Required Skills:
· A minimum of 7 years relevant experience with at least three years’ experience at the executive level.
· A demonstrated ability to operate independently, handle stressful situations, use initiative and innovation to handle issues and
make decisions required.
· Excellent written and verbal communication skills required.
· High degree of professionalism, diplomacy, discretion, judgment, and cultural sensitivity required.
· Demonstrated strong organizational skills with the ability to multi-task and balance priorities required.
· Strong team player with the ability to build relationships across and outside the organization required.
· Excellence in Word, Excel, PowerPoint and Microsoft Outlook/Mail/Calendar, Slack and Zoom with the ability to learn new software
applications required.
· Must type a minimum of 65 WPM with 95% accuracy.
Education/Experience Requirements:
· Bachelor level preferred or the equivalent in hands-on experience.
