Seeking a highly organized, proactive Executive Assistant/Office Coordinator to support a senior artist manager and small team in the electronic music space. The role is ideal for someone with 1–2 years of experience as an assistant or within the music industry.

Responsibilities Executive & Personal Support
Manage and maintain daily calendar, scheduling internal and external meetings across multiple time zones
Set up and manage calls, Zooms, and meetings, including agendas, recap notes, dial‑ins, and follow‑ups
Coordinate, book, and manage complex travel (flights, hotels, ground transportation, itineraries, changes on the fly)
Prepare, submit, reconcile, and track expense reports (Concur)
Handle personal tasks as needed (appointments, errands, ordering food)
Anticipate needs and proactively solve problems before they escalated
Field, organize, and prioritize outreach from internal and external teams
Office Management & Operations
Help oversee day‑to‑day office operations
Maintain users and licenses across Zoom, Trello, Dropbox and beyond
Assist with onboarding logistics for new hires or interns (access, calendars, basic setup)
Open and close office as needed
Book conference rooms
Coordinate birthdays and office events
Administrative & Team Support
Track tasks, deadlines, and follow‑ups across multiple projects
Help oversee tour, release, special project timelines
Handle general administrative needs as they arise
Qualifications
College Graduate
2-3 years of experience as an assistant or within the music industry
Strong organizational, time‑management, and multitasking skills
Comfortable booking travel and managing expenses independently
Excellent written and verbal communication skills
High attention to detail and ability to manage confidential information with discretion
Calm, adaptable, and solutions‑oriented under pressure
Proficiency with Google Workspace, calendars, Zoom, and task‑management tools
Based in NYC or able to work in‑office
Annual Salary -
$67,000 USD
