Polished Administrative Assistant (Real Estate Consulting)

PrideStaff is recruiting on behalf of an established and growing Real Estate Consulting firm in Palm Beach Gardens.

The Role: Executive Support & Office Operations

We are seeking a polished, poised, and highly professional Administrative Assistant to become the essential backbone of our client's Real Estate Consulting firm. The ideal candidate is a proactive self-starter with a meticulous eye for detail and a natural ability to anticipate the needs of the leadership team. This role requires respect for professional formality and a dedication to high-level business standards. M-F 9am - 6pm or 8am - 5pm $24 - $30/hr.

Key Responsibilities & Functions

  • Professional Correspondence: Serve as the primary point of contact for external communications, drafting professional emails to contractors, vendors, and high-value clients.
  • Front Office: Answer phones, manage the central inbox, and warmly greet all visitors and clients.
  • Scheduling & Management: Manage multiple executive calendars, schedule meetings, and create timely reminders for critical deadlines.
  • Document Control: Maintain organized physical and digital filing systems and assist with preparing professional business materials.

II. Technology & Operational Readiness

  • Tech Savvy Required: Utilize strong technical proficiency to manage office cell phones, internal communication systems, and troubleshoot minor technology issues.
  • Software Proficiency: Maintain expert knowledge of the MS Office Suite (Word, Excel, Outlook), with the ability to create and format professional correspondence and organize data.
  • Digital Branding: Responsible for managing and updating email signatures and professional online assets as needed.
  • Office Management: Maintain optimal inventory of office supplies and ensure the professional appearance and functionality of the office space.
  • Problem-Solving: Function as a natural problem solver, identifying operational hurdles and implementing efficient solutions independently.

Qualifications

  • Experience: Proven experience as a professional Administrative Assistant or in an executive support role.
  • Professionalism: Must be poised, possess excellent verbal communication skills, and maintain a high respect for professional business formality.
  • Written Communication: Required ability to write clear, professional, and grammatically correct correspondence with minimal supervision.
  • Technology: Demonstrated proficiency and comfort utilizing office technology, including mobile phones, calendar management, and the full MS Office Suite.
  • Work Style: Must be a self-starter and highly self-motivated with exceptional attention to detail.
