Job Summary The Fellowship Administrator applies extensive knowledge of clinical, programmatic, institutional, accreditation, and financial aspects of the Department of Pathology’s fellowship training programs.

There are three ACGME‑accredited fellowships and two non‑ACGME fellowships.

Duties include residency/fellowship management, database creation and maintenance; site visits; accreditation activities; qualitative and quantitative compliance reporting; maintaining and updating program policies and curricula; creating multisite and interdisciplinary rotation schedules; developing learner and program assessments; compiling evaluation data for review committees; advising on training program administration policies; training, supervising, and mentoring subordinates; managing resources, payroll, HR onboarding, recruiting, selection, appointments, credentialing, clinical privileges, visa processing.

The incumbent must travel to various work sites regularly.

Fingerprinting and background checks are required.

The role also applies financial services concepts, resolves moderate‑scope financial issues, monitors billing, collections, payor mix trends, and serves as the department’s MyExpense reimbursement reviewer providing guidance and recommendations.

Department Description The Department of Laboratory Medicine oversees Clinical Laboratories at UCSF Medical Center Mission Bay, UCSF Helen Diller Medical Center Parnassus Heights, UCSF Medical Center Mount Zion, China Basin, San Francisco VA Health Care System, Zuckerberg San Francisco General Hospital, Trauma Center, and Benioff Children’s Hospital Oakland.

The laboratories perform a large menu of diagnostic tests in hematology, immunology, microbiology, transfusion medicine, genomics, metabolism, toxicology, and chemistry.

The department has over 50 faculty engaged in biomedical research, including hematology, transfusion related disease, immunology/AIDS, cancer genetics, molecular mechanisms of hypertension, metabolism and obesity, neurovirology, and infectious diseases such as COVID‑19.

Required Qualifications

Bachelor’s degree in a related area and / or equivalent experience / training.

1+ years of related experience.

Experience with billing issue resolution and professional billing claims management.

Knowledge of MyExpense processes, policies and procedures and serve as Reviewer.

Strong interpersonal, analytical, service orientation, active listening, critical thinking, attention to detail, multitasking, organizational, verbal and written communication skills, sound judgment and decision‑making.

Preferred Qualifications

Ability to work effectively as a team member.

Ability to adapt to changing priorities.

Intermediate knowledge of internal control practices.

Skills to coach and mentor support staff.

Working knowledge of financial processes, policies and procedures.

Strong knowledge of financial data management and reporting systems.

Proficiency in spreadsheet and database software.
