The 61st Street Service Corporation provides administrative and clinical support staff for ColumbiaDoctors. This position will be a part of the Internal HR Onboarding Team that supports the new hire experience for ColumbiaDoctors, one of the largest multi-specialty practices in the Northeast. ColumbiaDoctors' practices comprise an experienced group of more than 2,800 physicians, surgeons, dentists, and nurses, offering more than 240 specialties and subspecialties.

Job Summary: This position will be responsible for the onboarding of new employees and the ability to provide excellent customer service to our clients. Must have a good working knowledge of commonly used concepts and procedures within an HR office and proficiency with MS Office, particularly with Excel. A successful candidate has experience in processing paperwork for new hires in a timely manner while maintaining all compliance requirements. This position has no supervisory responsibilities and will collaborate closely with all members of our HR team.

Duties and Responsibilities:

  • Manage the coordination of the New Hire Onboarding Process, with a caseload ranging from 10-15 at a time.
  • Efficiently follow the new hire onboarding workflow by initiating education verification, background checks, and tracking reference checks in alignment with established protocols.
  • Serve as a point of contact for candidates throughout the onboarding process, addressing inquiries and providing guidance as needed.
  • Ensure completion of new hire paperwork and monitor compliance following Key Performance Indicators (KPIs) across all stages.
  • Draft offer letters and forward to managers for approval prior to release.
  • Upon clearance, confirm the orientation date with both the hiring department and the new hire to ensure communication.
  • Provide support in scheduling medical screening appointments for new clinical hires to ensure timely completion of required health assessments.
  • Welcome new hires and facilitate a smooth orientation experience.

Human Resources Office Operations:

  • Responsible for scanning and uploading new hires documents into our Electronic Records Management System.
  • Set up of conference room for our weekly new hire orientation per rotating schedule.

Other Duties:

  • Answer the main telephone line and take accurate messages.
  • Assist with special projects as requested.
  • Perform other related duties as assigned.

Job Qualifications:

  • High school diploma or equivalency is required, college degree preferred.
  • A minimum of 2 years' experience in an office environment with strong proficiency with Human Resources terminology is required.
  • Effective communication and customer service skills with comfortability with public speaking.
  • Experienced with Applicant Tracking Systems (ATS) and Human Resource Information Systems (HRIS) if helpful.
  • Intermediate proficiency in Microsoft Office applications, including Word and Excel.
  • Able to handle sensitive information carefully and keep it confidential.
  • Ability to draft routine correspondence clearly and professionally.
  • Organizational and time management abilities.
