We are looking for a highly organized, proactive, and resourceful Executive Administrative Assistant to support our CEO across a rapidly scaling, multi-entity organization. This role is central to maintaining operational efficiency, ensuring tight execution, and enabling the CEO to focus on high-impact strategic priorities across the parent company and its four subsidiaries.

This is a fast-paced, dynamic role that requires exceptional attention to detail, discretion, and the ability to anticipate needs before they arise. The ideal candidate is someone who thrives in startup environments, enjoys problem-solving, and can seamlessly manage competing priorities.

Executive Support

  • Provide high-level administrative assistance to the CEO, including calendar management, scheduling, inbox management, and task prioritization.
  • Coordinate internal and external meetings, board calls, investor meetings, legal reviews, and cross-entity leadership sessions.
  • Prepare briefing materials, agendas, follow-up notes, and action items to increase executional efficiency.
  • Serve as a liaison between the CEO and internal teams, ensuring effective communication and alignment.

Multi-Entity Coordination

  • Track deliverables, deadlines, and cross-department initiatives spanning product, compliance, HR, operations, legal, and finance.

Operational Management

  • Assist with project management support for strategic initiatives, ensuring tasks move forward efficiently.
  • Maintain organized systems for documents, approvals, and workflows (Google Drive, Confluence, Slack, etc.).
  • Help coordinate travel logistics, itineraries, conferences, and offsite scheduling for the CEO and executive team.
  • Manage preparation and distribution of executive-level presentations, board decks, investor updates, and company announcements.

Communication & Documentation

  • Draft, edit, and polish communications from the CEO, including emails, internal memos, and external correspondence.
  • Maintain confidentiality and handle sensitive information with absolute discretion.

Administrative Excellence

  • Process expenses, reimbursements, vendor forms, and administrative approvals on the CEO's behalf.
  • Track CEO-related KPIs, tasks, and ongoing project lists.
  • Anticipate needs and proactively solve problems before they reach the CEO.

This position is onsite at our Boston HQ located next to South Station.
