Legal Support Specialist
Position Overview The Legal Support Specialist will support attorneys and legal teams in the execution of legal matters by providing project coordination, document management, and administrative support. This role requires sound judgment, exceptional attention to detail, and the ability to manage multiple matters simultaneously in a deadline-driven, high-volume environment. The position interacts regularly with attorneys, paralegals, and administrative professionals across multiple practice groups including corporate, intellectual property, litigation, real estate, and tax.
Key Responsibilities
Assist with coordinating workflows, timelines, and deliverables for active legal matters across multiple practice areas
Track matter status, deadlines, and key milestones; escalate issues as appropriate
Prepare status reports, summaries, and internal communications
Draft, format, proofread, and finalize legal documents, correspondence, and presentations in accordance with firm standards
Maintain and organize electronic and hard-copy matter files in the firm’s document management system
Support attorneys with document review, legal research, and due diligence tasks, as needed
Liaise with attorneys, paralegals, and business services professionals across practice groups
Manage data entry and updates in firm systems, including matter management and document management platforms
Handle highly confidential and sensitive information with discretion and professionalism
Qualifications
Bachelor’s degree or equivalent professional experience
Two to four years of experience in a large law firm or professional services environment
Demonstrated ability to support multiple attorneys and matters simultaneously
Exceptional organizational, time-management, and prioritization skills
Strong written and verbal communication skills
Meticulous attention to detail and commitment to accuracy
Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
Paralegal certificate or formal legal assistant training preferred
Prior experience at large law firms preferred
Familiarity with document management systems (for example, NetDocuments or iManage) preferred
Exposure to multiple practice areas including corporate, intellectual property, litigation, real estate, and tax preferred
Experience using project management or matter-tracking tools preferred
Qualified applicants with arrest and conviction records will be considered for the position in accordance with the California Fair Chance Act.
California Pay range for this role, with final offer amount dependent on skillset and experience, is $65k - $70k.
