Role Overview:
The Space Planning Administrator supports the strategic and operational planning of workplace environments by managing space data, coordinating moves and changes, and assisting in space utilization strategies. This role will act as an admin for the Integrated Workplace Management System (IWMS), currently Planon, but transitioning to ServiceNow Workplace Service Delivery and Enterprise Asset Management (WSD, EAM) platform.
In addition, this role will serve as Project Manager for furniture-related activities and requires extensive knowledge of contract furniture systems, including specification, procurement, and installation processes. Experience in commercial interior design principles, space planning standards, and workplace aesthetics is highly desirable.
Key Responsibilities
Space Data Management – Maintain and update space allocation databases and floor plans using CAD/IWMS systems.
Ensure accuracy of portfolio and occupancy data and space assignments.
Generate reports and dashboards to support space utilization analysis.
Move/Add/Change Coordination – Assist in planning and executing employee moves, departmental relocations, and space reconfigurations; coordinate with IT, facilities, and business units.
Planning and management of contract furniture layouts, specification, procurement and installation.
Support space planning initiatives by analyzing occupancy trends and forecasting future needs.
Assist in developing space scenarios, test fits and layouts using AutoCAD and other design tools.
Serve as a point of contact for space-related and furniture inquiries from internal departments.
Communicate space policies and procedures to business units.
Ensure adherence to corporate space standards and guidelines; support audits and compliance efforts related to space usage.
Routine Tasks
Receive and respond to daily tickets for onboarding assignments and stakeholder requests.
Update personnel data in the IWMS platform.
End-user engagement for seating and/or room reservation requests.
Update the Company Employee Directory (CED) to ensure accuracy of real estate data.
Perform data auditing and reporting for personnel location and real estate information.
Ensure data flow into IWMS and downstream is accurate; work with internal teams to update as necessary.
Analyze and document processes, identifying areas for improvement to enhance data integrity and efficiency.
Stakeholder engagement for site updates, test fits for feasibility, and sourcing products as required.
Qualifications
Bachelor’s degree in Facilities Management, Architecture, Interior Design, or related field.
2+ years of experience in space planning, facilities coordination or workplace strategy.
Proficiency in AutoCAD for creating and modifying floor plans and layouts.
Experience with space management software.
Strong analytical and organizational skills.
Excellent communication and interpersonal abilities.
Ability to manage multiple priorities and work independently.
Proven experience as a Space Planning Administrator or similar role.
Strong analytical skills in comparing data sets from multiple platforms and converting to digestible metrics for presentations.
Ability to collaborate effectively with teams on construction and fit-out projects, working closely with design professionals, vendors, and internal stakeholders.
