Salary: $4,216 - $5,666 (King County Premium: 5% premium not included)

The Department of Children, Youth, and Families (DCYF) is seeking an attention‑oriented Forms and Records Analyst 3 (FRA3) to process and handle discovery requests and the redaction of records for Region 4, Seattle. This fast‑paced, time‑sensitive position offers flexibility and the opportunity to support and coach staff through a highly specialized process. Your work will strengthen internal collaboration and positively influence outcomes for our dependency court partners.

The Opportunity This position supports DCYF's records management system and reports to the Forms and Records Supervisor. Responsibilities include coordinating the imaging of client and administrative records into the agency’s electronic records storage system, ApplicationXtender (AX); providing training to DCYF staff on records management; performing quality assurance tasks to ensure records are accurately indexed and stored; managing multiple record requests and complex record projects that require record searches in multiple systems, including FamLink, WaCompass, ACT, and SharePoint; and serving as a consultant with management regarding record management practices.

Redact files in accordance with redaction rules, laws, and policies.

Access the Agency Records Tracking System (ARRTS) program.

Provide training and technical assistance.

Enter and correct data in the record indexing system.

Provide direction and consultation to DCYF staff on preparing records for imaging and record retention.

Communicate record management policy and procedures to DCYF staff.

Mitigate the risk of court sanctions from improper record management or inaccessible records.

Assist in transferring records stored on a variety of portable media devices to AX, including incoming media devices.

Coordinate calculated searches for legal discovery and ensure the requested information is collected in an unredacted and unaltered state.

Coordinate requests from records and public disclosure managers, the Public Disclosure Unit, the records officer, and other special requests.

Utilize/research FAMLINK, WaCompass, ACT, SharePoint, and AX to verify the location or destruction of records.

Scan physical records into AX using Image Trust.

Manage and gather records in response to discovery requests from the Washington State Attorney General’s office, attorneys, and internal DCYF employees.

Process and handle requests for discovery in agency litigation.

Required Qualifications Equivalent combination of education and experience totaling six (6) years in forms and/or records management, clerical duties associated with records management, public disclosure, paralegal, or customer service.

OR two years as a Forms and Records Analyst 2 (FRA2).

OR a Bachelor’s degree in business administration, accounting, industrial engineering, social services, paralegal, or a related field AND two (2) years of experience in forms and/or records management, public disclosure, clerical duties associated with records management, or customer service.

OR an Associate of Arts degree in business administration, accounting, industrial engineering, social services, paralegal, or a related field AND four (4) years of experience in forms and/or records management, public disclosure, clerical duties associated with records management, or customer service.

The ability to take action to learn and grow, and the ability to take action to meet the needs of others.

NOTE: Employees must successfully complete the formal training course sponsored by their division within one year of appointment.

Desired Experience

Previous work experience using FAMLINK, WaCompass, ACT, AX, and SharePoint.

Working knowledge of DCYF policies, procedures, rules, and regulations.

Advanced level of skill utilizing Microsoft Office Suite (Word, Excel, and Outlook).

Previous work experience identifying, preserving, and protecting confidential and exempt information under federal and state laws.

Experience managing multiple records requests and complex record projects.

Advanced knowledge of multiple record management systems.
