Job Summary This position is located at Wellstar Columbia County Medical Center in Grovetown, Georgia and reports to the Executive Director Supply Chain Operations. You will be responsible for Supply Chain Operations in all Clinical, Med/Surg, and Emergency areas at designated hospital and ambulatory sites. You will develop annual operating and capital financial plans, implement operational goals, metrics, and policies, and serve as the supply chain liaison to facility leadership and administration.

Core Responsibilities and Essential Functions

Performs analysis and develops annual operating and capital financial plan for Supply Chain at sites of responsibility.

Monitors monthly Financial Responsibility Reports to identify any variance and develop corrective action plan for unfavorable results.

Monitors FTEs, overtime and productivity and adjusts as appropriate to be within budget and within standards.

Implements and monitors metrics for Clinical, Med/Surg, and Emergency areas for sites (hospital inventory, receiving, and distribution). Establishes baselines tracks and reports metrics (inventory turns, dollars per operating suite, dollars per procedure, non-file purchases, requisitioning compliance, freight, inventory reductions) for cost- savings, and utilization improvements.

Continually evaluating product stocking levels, freight and shipping strategies, receiving and other business processes in order to maximize financial value to hospital and Health System.

Strategic and Operation Policies

Provides oversight for system and supply chain policy and holds team accountable. Ensures consistent application of policy across all areas of responsibility.

Prepares policies and procedures in collaboration with hospital and clinical leadership, updates policies and procedures in supply areas, and ensures compliance.

Creates and completes annual operational goals, including timelines, metrics and work plans.

Ensures the above is completed by all Supply Managers, Supervisors, and Coordinators for their respective areas.

Implements WHS policies and procedures to ensure compliance with internal controls.

Utilizes market intelligence to identify areas of opportunity for standardization and utilization improvement (including new technologies, RFID, and bar code scanning).

Supply Chain Operations Management

Provides semi-annual and annual goals and evaluations.

Provides direction for establishing and/or execute department GPTW action planning and goals.

Ensures all newly hired Supply Chain Managers, Supervisors, Supply Coordinators, and Inventory Specialists, attend appropriate orientation.

Holds regular meetings for review, feedback, and updates.

Holds and/or participates in all departmental business reviews.

Hires, trains, coaches, and develops Supply Managers, Supervisors, Supply Coordinators, and Inventory Specialists as well as ensures that each employee has a clear and thorough understanding of their role and responsibilities.

Oversees and directs activities for the Supply Managers, Supervisors, Supply Coordinators, and Inventory Specialist as well as ensures the proper management and direction of their Supply team members.

Define and ensure team delivery against key performance metrics for measurement, comparison, or evaluation of supply chain factors, such as shipping cost, product expiry, or inventory turns.

Assist CQVA in the coordination of medical supply evaluations, implementations and new technologies at sites of responsibility.

Performs monthly supply variance analysis for areas of responsibility.

Implements best practice Supply Chain operational policies and procedures.

Manages vendor visitation process and policy adherence while reporting vendor compliance issues to Purchasing for vendor management according to the Vendor Policy. Educates team members of vendor policy.

Met with vendors to discuss consignment inventory agreements. Submits agreements to Supply Chain Contracts Department for review and execution.

Actively engages in the successful implementation of Supply Chain strategic and tactical plans in order to achieve annual goals and objectives of the organization.

Inventory Management and Supply Chain Operations

Oversees perpetual inventory management and controls for WellStar system.

Oversees and coordinates year end inventories at each site of responsibility. Works directly with and coordinates the inventories with Internal Audit and reports results to the Executive Director Supply Chain Operations, Finance, and Internal Audit.

Identifies and implements controls and enhancements for inventory management.

Manages inbound and outbound freight and shipping costs.

Manages goods return process back to Distribution Center and/or vendors.

Coordinates with the Distribution Center to optimize hospital inventory management processes.

Ensures proper tracking of implants, bone and tissue and other high dollar supplies and medical devices. Establishes tracking of loaner sets.

Ensures proper and timely submission of item file additions, changes and deletions.

Manages requisition and par forms maintenance process.

Implements hand-held bar code scanning and other technologies for inventory management.

Ensures best practice supply chain processes for inventory, receiving and supply replenishment in all areas of responsibility.

Designs new supply areas as required.

Stays current on new technologies for supply management.

Implement best use of Lawson ERP system for requisitioning and inventory management of supplies in areas to include bar code scanning.

Implements best practice Supply Chain operational procedures for supply areas consistently within areas of responsibility.

Quality and Safety

Coordinates with Clinical Quality Value Analysis (CQVA) for clinical evaluation and implementation of medical devices.

Directs FDA recall processes for areas of responsibility, ensuring correct reporting and handling of product within established timelines and procedures.

Works directly with CQVA, VA Process Improvement, clinical leadership, and/or clinical educators to ensure proper training on new or substituted products.

Practices and ensures adherence to The Joint Commission Standards, OSHA, and system safety and quality policies.

Provides direction for establishing and/or execute department COSS action planning and goals.

Customer Service

Develops and conducts quarterly customer satisfaction survey for respective areas. Establishes baseline and benchmarks. Reports results to Executive Director Supply Chain Operations.

Serves as key Supply Chain Operations liaison to administration and clinical leadership within areas of responsibility.

Serves as internal expert on all implantable device agreements and educates direct reports on contracts. Ensures pricing compliance on bill-only requisitions.

Creates a work environment that promotes premier customer service in all areas of responsibility.

Creates a work environment that promotes a high level of employee engagement using GPTW results as a tool for establishing goals.

Responds to internal and external customer inquiries in a professional and timely manner.

Facilitates change management through effective communication.

Utilization and Clinical Quality Value Analysis

Attends Clinical Quality Value Analysis meetings and champions the coordination and implementation of product decisions.

Utilizes market intelligence to identify areas of opportunity for standardization and utilization improvement (including new technologies, RFID, bar code scanning).

Identifies and implements utilization and cost savings opportunities and communicates those to Supply Chain Leadership, entity leadership, Clinical Quality Value Analysis, and Clinical Department Directors.

Required Minimum Education

Bachelor's degree in supply chain or business related field is required.

Master's degree is preferred.

Required Minimum Experience

Minimum of 5 years healthcare supply chain in logistics, inventory, receiving, and distribution.

Minimum of 5 years management with supervision of major projects and/or staff, preferably in a hospital environment.

Required Minimum Skills

System applications: Lawson & Mobile Supply Chain with full functionality of access to defined cost centers, Lawson including manager dashboard, SpaceTrax, Horizon Tissue Management, Outlook, Shared drive, Kronos, Office Max, RND, Remote desktop, Success factors, iCIMS, Blue Bin/Kanban Systems, GreenLight, GHX, and ECRI.

Interpersonal Skills: Requires strong communication skills to manage staff, communicate with customers, and interact with other Supply Chain entities/leadership.
