Our client, a growing telehealth company seeking a proactive and detail-oriented Director of Scheduling and Intake to lead their intake and scheduling operations.

This role is critical to ensuring patients receive timely and reliable house doctor appointments, while maintaining strong relationships with referral sources and optimizing team performance.

Responsibilities

Oversee and manage a team of schedulers responsible for booking house doctor appointments.

Ensure schedulers confirm appointments with patients on the day of service and reschedule as needed to avoid missed visits.

Maintain high appointment retention and minimize cancellations.

Coordinate with external medical organizations to schedule referred patients.

Monitor team productivity and create detailed reports on intake performance, including:

Number of appointments scheduled

Missed appointments

Individual performance metrics and issue tracking

Identify and address operational inefficiencies and areas for improvement.

Communicate effectively with internal teams and external partners.

Foster a culture of accountability, responsiveness, and excellence within the intake team.

Qualifications

Proven experience in healthcare scheduling, intake coordination, or operations management.

Strong leadership and team management skills.

Exceptional attention to detail and organizational abilities.

Excellent communication and interpersonal skills.

Proficiency in creating and analyzing performance reports.

Ability to work in a fast-paced, dynamic environment.

Experience with telehealth or home care services is a plus.

Familiarity with scheduling software and CRM systems.

Data-driven mindset with the ability to interpret metrics and drive results.

Comfortable working with diverse teams and patient populations.
