Are you an organised, detail-oriented professional with a passion for structure, quality, and client satisfaction? We’re looking for a Manager in one of our Corporate Departments to join our team in Bertrange and play a key role in ensuring the smooth and efficient running of our Corporate Department.
Reporting to the Deputy and the Head of Business Unit, you will oversee the coordination, quality control, and process optimisation of client files — from onboarding to closing. Your role will be central to maintaining the high standards of service excellence our clients expect and ensuring a collaborative, efficient workflow within the team.
What You’ll Do
Manage a small team (review and monitor their work) cooperating closely with other departments to ensure full monitoring of all transactions
Mentor and support the corporate team members to achieve operational excellence and professional growth
Oversight and improvement of the corporate missions:
Act as the key point of contact for internal or external clients for corporate (paralegal/administrative) matters with regards to Luxembourg companies
Extensively liaise with our clients, local notaries, public authorities and banks
Actively participate in the day-to-day management of these companies, prepare board meetings, shareholder meetings and a variety of other corporate documents
Ensure that all corporate records are accurate and regularly updated (including the UBO register, organizational chart, shareholders’ register)
Follow up on legal proceedings relating to the investment, holding structures and assets of client portfolios
Organize incorporations, mergers and liquidations
Ensure timely convening of annual general meetings for the approval of annual accounts in accordance with legal requirements and that the accounts are duly filed and published within the statutory deadlines
Ensure that the invoices and reminders are sent by the teams and follow up directly with clients by phone when necessary
Efficient management of high-priority and time-sensitive issues
Cross function missions:
Organize and lead meetings with clients and cross-functional team members to discuss ongoing projects and address any issues
Be source of suggestions and permanent improvement of actual procedures, templates
Perform regular reports as needed and any other missions depending on the business needs
Qualifications
Minimum 5 years of experience in a similar role within a fiduciary or corporate services environment
Solid background in client file management and team coordination
Proven expertise in quality control, process management, and organisational optimisation
In‑depth understanding of Luxembourg corporate and fiduciary regulations
Strong project management and multitasking abilities.
Fluent in French and English (both written and spoken)
Luxembourgish and/or German are considered a plus
