Job Description Events Management Associate is responsible for overseeing the inventory and logistics of meeting rooms, ensuring they are equipped with necessary furniture, technology, and supplies for effective meetings. A key aspect of this role is handling escalations due to space conflicts, proactively addressing issues to satisfy future space needs, and maximizing space usage according to criteria. This role requires coordination between departments to manage bookings and maintain inventory levels, ensuring smooth operation of meeting spaces. The ideal candidate excels in client interaction, problem‑solving, decision‑making, and maintains organization and composure under pressure, especially when managing escalations in high‑demand spaces.
Job Responsibilities
Maximize space utilization by implementing appropriate booking strategies based on booking guidelines for Midtown Campus
Handle day‑to‑day challenges such as space conflicts or pop‑ups, driving towards effective solutions while maintaining a positive client experience
Manage space issues related to escalations, unresolved waitlist requests with lead planners – working seamlessly within all the spaces
Communicate and deliver high level service to event organizers. Develop rapport with line of business admins and meeting contacts to learn about business needs while understanding the importance of meeting their expectations.
Participate in daily operations meetings and weekly reviews to stay ahead and informed on events you and the team are planning
Execute pre‑conference calls/meetings and post‑conference calls/meetings when applicable, ensuring all details are managed effectively
Manage event bookings past 6 months. Work with event organizers to discuss yearly strategies, requirements, and flexibility in booking space.
Work closely with Planning Managers to stay linked to issues and work as one team
Actively participate in various projects and meetings to help support business principals related to operations, and customer feedback
Analyze reporting and track trends to create business case scenarios
Master the usage of the EMS (Event Management System) to detail reservations, review incoming requests, and generate accurate reports
Required Qualifications, Capabilities and Skills
Bachelor degree required
Four plus years’ experience in the Hospitality Industry, 5‑Star Hotels, Event Planning and Food & Beverage with high‑touch customer service, demonstrating a strong foundation in customer service and organizational skills
Excellent interpersonal and communication skills, with the ability to engage with clients and colleagues professionally and warmly
Ability to effectively manage guest experiences and expectations using a high level of tact and diplomacy
Highly organized, with the ability to multitask and prioritize tasks effectively
Working experience of audio‑visual systems; proficiency in Microsoft Office tools are essential, and experience with the EMS booking system
Flexibility to thrive in a fast‑paced and diverse environment
Willingness to work flexible shifts to cover conference center hours
