Eligibility Criteria

Employment Type: No C2C (Corp-to-Corp) or C2H (Contract-to-Hire) arrangements. W2 contract only. No referral fees will be entertained.

Work Authorization: Must be a U.S. Citizen

Local in Rancho Bernardo and San Diego or 1 hour drive to Rancho Bernardo and San Diego.

Has the ability to establish priorities.

Has the ability to maintain the confidentiality of sensitive information.

Has the interpersonal skills and written communication skills required to effectively interface with all levels of employees, management, and applicants and to explain/interpret moderately complex information.

Has the ability to accurately document and maintain records and files.

Basic familiarity with office software.

We are looking for a highly accurate administrative professional who enjoys working in a fast‑paced environment, can multitask, and manage multiple responsibilities at one time. This highly visible and customer‑service‑facing role requires an attentive, detailed‑oriented individual who will be responsible for administrative duties which include high‑volume candidate interview scheduling, managing numerous calendars, and ensuring schedules and changes are communicated effectively. This role will also be responsible for the preparation of numerous documentation and databases that support the scheduling of candidates and onboarding of new hires.

Duties and Responsibilities

Supports a high volume of moderately complex interviews to include audio, virtual and onsite interviews.

Interfaces with candidates, recruiters and hiring managers to coordinate and schedule interviews.

Coordinates interview travel for candidates.

Processes and verifies candidate and employee expense reimbursement reports for travel expenses.

Partners with Human Resources to process new hire onboarding requests.

Sends out a variety of candidate and hiring manager correspondence to include interview confirmations, interview evaluations, candidate applications, and onboarding materials.

Maintains and updates a variety of confidential and sensitive electronic and/or hard copy records and/or files primarily in recruiting systems.

May participate or lead ongoing process improvement initiatives and projects.

Utilizes MS Office Suite and other applications to include BrassRing.

Performs other duties as assigned or required.

Job Qualifications

Typically requires a high school diploma or equivalent and two or more years of progressive experience in human resources administration or a related field.

Must be customer focused and have a general understanding of human resource policies, procedures, and relevant regulations.

Must possess:

The ability to establish priorities.

The ability to maintain the confidentiality of sensitive information.

The interpersonal skills and written communication skills required to effectively interface with all levels of employees, management, and applicants and to explain/interpret moderately complex information.

The ability to accurately document and maintain records and files.

Basic familiarity with office software.

The ability to work both independently and in a team‑environment is essential as is the ability to work extended hours as required.

Additional Qualifications

Must be able to multi‑task between scheduling, expenses and government compliance request.

Must have used an ATS system.

Extensive scheduling experience required.

Must have organization and prioritizing experience.

Excel is a plus.

Position Will Include

Scheduling interview.

Reserving rooms.

Travel request.

Expense reports.

Kick off the onboarding process.

Send welcome emails for new starts.

Send interview emails to candidates.

Verify and communicate new starts each week.

When requested may do government compliance checks.
