We are seeking an Executive Administrative Assistant to partner with the Managing Director who leads Corporate Development, Investor Relations, Treasury and the Integration Management Office. The most qualified candidate is capable of professionally representing the executive, analyzing situations to make sound decisions that best position the executive and his leadership team while driving team culture and supporting administrative needs across the senior leadership team. This individual needs to be extremely detail-oriented, responsible, reliable, diligent, service-oriented, and personable. Primary responsibilities will include managing complex travel and meeting logistics for multiple senior leaders with minimal notice periods for organizing events and travel arrangements with keen attention to detail of creating extraordinary experiences for those attending the meetings and events. Additionally, this role will support the key scheduling function for the Investor Relations calendar.

Responsibilities include maintaining accountability for the executive's effectiveness through delivery of effective administrative support, including complex calendaring and logistics, meeting preparation, travel coordination and expense processing. Proactively protect the executive's time and instinctively absorb any surmountable tasks to alleviate pressure where possible; anticipate the needs of the executive and operate independently to deliver creative solutions. Prepare and review all documents for meetings as well as any department communications. Seamlessly serve as executive's proxy when their voice and/or presence is either impossible or impractical. Cultivate client and business partner relationships wherever possible, focusing heavily on delivering a distinguished hospitality experience and making conscious connections. Own and continuously improve the executive's and the team's operating cadence (e.g. 1:1s, team meetings, leadership off-sites, etc.). Promote effective collaboration among the department's underlying business units, including in the absence of the executive's direct participation. Ensure the productivity of team meetings by owning coordination, agenda, and note-taking; distill meeting notes into action plans. Demonstrate an attitude of resourcefulness and self-sufficiency in all tasks. Develop and maintain solid working relationships with peers across the firm to encourage a collaborative environment and deliver timely and accurate results. Appropriately handle information and tasks of a highly confidential nature, maintaining utmost discretion at all times.

Requirements include 2+ years of experience in an executive assistant role, ability to work in-office Monday-Friday, experience working efficiently in a fast-paced professional environment, comfort working with high-level executives; this is a high visibility position, and exceptional knowledge of all Microsoft applications - Excel, PowerPoint, Outlook, Word (MS Office Certification or equivalent operating knowledge preferred). Core competencies include interacting well with peers, senior managers, and other staff in the department, excellent organizational and customer service skills, with high attention to detail, superior writing and editing ability, excellent oral and written communication skills, must be proactive in meeting and exceeding needs of leader and handle confidential information, and ability to meet deadlines and multi-task in a fast-paced environment. Preferences include Bachelor's degree preferred, financial services industry experience, previous project management experience preferred, and exceptional travel arrangement experience with proven success working across multiple time zones.

Pay Range: $34.56-$57.60/hour. Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
