Job Description
Estate Planning Specialists is looking for a proactive and detail-oriented Executive Assistant to support our President/CEO and help keep our office running smoothly. This role is ideal for someone who enjoys working with people, staying organized, and being a dependable point of contact for clients and colleagues.
What You’ll Do
As an integral member of our team, you will handle a variety of administrative and client-facing responsibilities, including:
Client & Office Communication
- Serve as a friendly and professional first point of contact for current and prospective clients via phone and email
- Manage incoming mail, ensuring timely distribution
Organization & Administrative Support
- Create, organize, and maintain electronic and physical filing systems
- Coordinate calendars, appointments, and schedules for the President/CEO
- Assist with preparation of recurring reports, spreadsheets, and special projects
- Learn and become proficient in our CRM software
Lead Management & Follow-Up
- Track new leads and inquiries
- Coordinate appointment scheduling
- Conduct follow-up calls with prospective clients
What We’re Looking For
- 1+ year of experience in an office or professional administrative setting
- Comfortable speaking with clients and leads over the phone
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office—especially Word, Excel, and Outlook
- A positive attitude, strong attention to detail, and willingness to learn
