Salary : $62,500 to $64,375

Salary is adjusted for local market rates

Position Summary

The Executive Assistant to the Chief Operations Officer (COO) provides comprehensive high-level professional administrative support to the COO of Museum of the Bible (MOTB), based in our Washington, DC, Museum office. He/she coordinates varied aspects of the Operations office, including its individual departments/areas: Customer Service, Retail, and Operations as well as MOTB vendors. This position requires diverse communication & coordination with the various internal & external constituencies of the MOTB community, including the Executive Leadership Team, Board members, donors, vendors, staff, and guests as needed. The Executive Assistant must multi-task in a deadline-driven, fast-paced environment and proactively address competing priorities.

Duties & Responsibilities

Responsibilities:

Provide a wide range of support, working within tight deadlines, for the Chief Operations Officer (CRO): Manage email and prepare internal/external correspondence, reports and presentations Prepare well-researched documents: draft, proofread, edit, organize and file Manage a dynamic calendar, including travel arrangements and meetings schedules Prepare expense reports Attend Operations team & other meetings and record minutes as required Represent the COO & Operations department in his/her absence Oversee Director on Duty (DoD) annual scheduling, and in partnership with Human Resources, prepare the assigned DoD each week Coordinate COO & Operations Directors reporting for bi-annual Board of Directors meetings In coordination with other EA’s, maintain general office supplies for the office and restock the kitchen Maintain the highest degree of professionalism & confidentiality at all times Champion the Museum of the Bible’s mission to invite all people to engage with the transformative power of the Bible. As required, inclusion in official or incidental photographs and videos for MOTB and/or guests Other Duties as Assigned.

Qualifications & Requirements

Knowledge:

Bachelor’s degree in Business or a related field preferred; or equivalent experience, or combination of education & experience Over 5 years of experience in an executive support role; at least 2 years with a Chief preferred.

Skills:

Proven project management skills Excellent written and verbal communication skills; able to compose business correspondence, including emails & sensitive documents, with minimal direction Comprehensive knowledge of Microsoft Office 365 tools: Word, Excel, PowerPoint, Outlook, SharePoint, Teams, OneNote, Forms; ease with learning software applications Knowledge of online expense reporting & travel tools Working knowledge of online project management tools, such as Smartsheet, etc.
