Responsibilities We are seeking a creative and collaborative Property Manager with a passion for community-driven placemaking. This individual is detail oriented with the ability to learn and thrive in a fast-paced environment.
Create and implement staff planning and development programs to meet ongoing operational requirements of property.
Coordinate hiring of qualified personnel. Interview applicants and recommend final candidates to regional manager for final selection.
Prepare and conduct performance reviews and make salary recommendations for all direct reports. Review and approve staff performance reviews.
Monitor property payroll. Classify and approve all employee timesheets and invoices, reconcile hours worked, and approve and monitor overtime.
Supervise and coordinate staff operations including administration, maintenance and repair, leasing and marketing, renovation and construction, human resources and financial activities.
Review and evaluate property’s performance on a continuing basis, providing explanation of any variance to business plan. Direct subordinates in the execution of programs, recommend modifications of plans, and implement contingency plans in accordance with prevailing business conditions as directed by the regional manager.
Prepare and submit monthly management reports, including the vacancy report, new tenant prospect and activity report, budget variance report, monthly delinquency report, income and expense report (with variances noted), quarterly bankruptcy and litigation report and others as necessary.
Inspect building(s) on an ongoing basis to determine efficiency and effectiveness of personnel. Ensure that all work orders are approved and delegated to appropriate personnel, including the coordination of tenant move-ins and move-outs.
Solicit bids from vendors for work performed in building and award contracts after securing appropriate/required approvals. Maintain working knowledge of all vendor contracts and ensure compliance with the contracts.
Review all ongoing management agreements—e.g., service contracts—with the Director of Property Management and obtain approvals as necessary.
Initiate and authorize expenditures, appropriations and commitments on pricing strategies within limitation of delegated authority. Recommend appropriate action for all others.
Approve and authorize budgeted expenditures for operating expenses up to authorized level. Obtain approval from the Director of Property Management for all unbudgeted expenses, tenant improvements, extraordinary expenditures, legal fees, bonuses, and expense reports for property employees and any other expenses.
Implement policies and procedures in accordance with published directives, local codes, laws and procedures to ensure compliance.
Develop, coordinate and implement the property’s long-range marketing and leasing plan including leasing curves, rates, terms, tenant retention programs and conditions.
Develop and implement tenant relations and retention programs.
Develop the property’s strategic plan for the local business market and ensure its proper execution.
Produce and implement all annual and long‑range budgets including necessary extraordinary expenditures for property with appropriate approval. Ensure competitive contracts and in‑house maintenance standards are maintained and funds are available to support the annual business‑operating plan.
Assist the Director of Property Management in preparation of long‑range strategy programs, including a five‑year cash management and capital budget.
Understand and execute emergency and evacuation procedures, notifying appropriate personnel as necessary.
Perform other essential duties as directed.
Other Job Responsibilities
Participate in civic and business organizations. Attend BOMA and/or IREM programs and activities. Maintain relationships with representatives of government, public service organizations, tenants and vendors as necessary to the overall management of property. Engage in other outside activities that are consistent with company and owner responsibilities to the community and industry.
Obtain and/or provide information for due diligence reports pertaining to potential office building acquisition in local area upon request.
Maintain file of building drawings.
Compensation Anticipated base salary range: $100,000 - $125,000 / year. In addition to a competitive base salary, you will be eligible to receive discretionary bonus incentives and a comprehensive benefits package.
Actual base salary within the anticipated range will be determined by several components including, but not limited to, the individual's experience, skills, qualifications, and market factors.
Qualifications
Bachelor’s degree in Business Administration, Real Estate, Finance or a related field is required.
CPM and/or RPA designation is preferred.
A minimum of four years of experience in property management, to include construction management and leasing experience of Class A properties is required.
Excellent communication skills, both written and verbal, are required.
Strong planning and organizational skills are required.
Strong PC skills and Excel proficiency is preferred.
Ability to multi‑task, shift direction easily, be proactive.
Ability to work well under pressure and within a fast‑pace work environment.
