Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to join our team in San Jose, California. As part of this contract position, you will play a pivotal role in supporting day-to-day operations by managing communications, scheduling, and administrative tasks. This role requires excellent organizational skills, a detail-oriented approach, and the ability to multitask efficiently.
Responsibilities:
- Respond promptly to inbound calls, providing accurate information and resolving inquiries.
- Deliver exceptional customer service by addressing client needs and maintaining positive interactions.
- Perform data entry tasks with precision to ensure records are accurate and up-to-date.
- Manage email correspondence, including composing, organizing, and responding to messages.
- Handle both inbound and outbound calls, maintaining attention to detail.
- Utilize Microsoft Excel to create and update spreadsheets, analyze data, and generate reports.
- Prepare presentations and documents using Microsoft PowerPoint and Word.
- Maintain schedules and coordinate appointments to optimize workflow and time management.
- Use Microsoft Outlook to manage calendars, emails, and meeting invitations.
- Collaborate with team members to ensure seamless execution of administrative processes.
Requirements:
- Proven experience in answering inbound and outbound calls in an environment that requires attention to detail.
- Strong customer service skills with a focus on building positive relationships.
- Proficiency in data entry with attention to accuracy and detail.
- Familiarity with email management and correspondence practices.
- Advanced skills in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word.
- Ability to schedule appointments and manage calendars efficiently.
- Excellent organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
