Job Description Summary / TWC Summary:

Provide administrative and operational support for the Department of Pharmacy Practice and Administration (PPA), assisting with the planning and coordination of the PharmD and residency programs, faculty, staff, students and associated activities and events. Facilitate program activities and address the academic needs of faculty, staff, and students. Collaborate closely with the Department Chair to ensure efficient departmental operations and the successful execution of initiatives.

Essential Duties Summary:
  • Coordinate daily operations and administrative tasks for the Pharmacy Practice and Administration department, managing correspondence, contacts, and departmental information.
  • Work with the Academic Dean, Department Chair and faculty to complete assessments, strategic plans, reports, and surveys required by TSU, Title III, COPHS, and accrediting bodies.
  • Compile and distribute departmental data, reports, and program materials to support departmental, programmatic, and accreditation needs.
  • Organize and facilitate departmental meetings, seminars, and events, preparing meeting minutes and distributing materials to inform stakeholders.
  • Maintain faculty and student databases, and assist with course scheduling, grade reporting, and exam coordination, including scheduling proctors and supporting exam administration.
  • Provide support to faculty, other staff, students, and applicants with academic and procedural needs.
  • Support recruitment, outreach, and student engagement activities, including orientations and informational sessions.
  • Support department and college activities including but not limited to proctoring, classroom assistance, OSCEs, student organization and college events, etc.
  • Manage departmental budgeting, including travel, procurement, and reconciliation processes, handling requisitions, invoices, and purchase records.
  • Demonstrate strong organizational, critical thinking, and decision-making skills, with the ability to work autonomously when required.
  • Respond to communications from internal and external stakeholders, escalating issues as needed, and perform additional duties as assigned.

Hiring Range:

$59,442.00 - $75,788.56

Education:

Bachelors degree required.

Required Licensing/Certification:

Valid Texas Drivers License preferred.

Knowledge, Skills, and Abilities:
  • Knowledge of:
  • Policies, procedures, and current PharmD, and interprofessional education and collaboration practices.
  • Microsoft Office Professional or similar applications; mail merges, database management, cloud-based platforms, and various videoconferencing platforms as required.
  • Skill in:
  • Problem-solving and decision-making.
  • Multitasking and time management.
  • Both verbal and written communication.
  • Being detailed oriented.
  • Ability to:
  • Work autonomously using high-level organizational, critical thinking and decision-making skills.
  • Work as a team member and build collaborative relationships.
  • Work in a fast-paced environment and be flexible in meeting job assignments and changing priorities
Work Experience:
  • At least five (5) years of experience in a higher education or administrative healthcare setting.
  • Advanced proficiency in MS Word, Outlook, Excel, and PowerPoint; experience with Banner systems, Qualtrics, Examsoft, CORE, and/or Blackboard preferred.
