Job Overview Reporting to the Associate Director for Academic Operations in the Department of Pharmacology & Physiology, School of Medicine – Georgetown University, the Operations Specialist supports the general administrative needs of the Department of Pharmacology & Physiology, a research and teaching active department with four degree‑granting programs (MS in Pharmacology, MS in Physiology, Special MS in Physiology, PhD in Pharmacology & Physiology), ~25 faculty members, and ~15 staff.
Duties
Supports faculty, students, and staff in the department with ordering and overseeing the procurement lifecycle, as well as general administrative issues.
Supports department events through work with vendors, room scheduling and arrangement, securing parking for guests as needed.
Coordinates travel for invited speakers, student interviews, and department staff when needed, including reimbursements for transportation and meals.
Submits work requests through the facilities portal and ensures follow‑through of requested work.
Maintains and updates department directories, listservs, and personnel lists.
Maintains an appropriate inventory of department office supplies, snacks, and beverages.
Ensures that classrooms and conference rooms are set up correctly and that department equipment is operational.
Manages ongoing food delivery and set up for weekly seminars, monthly breakfasts and luncheons, and special events.
Communicates with University Information Services to assist with technical issues and ordering of replacement technology.
Work Interaction The Operations Specialist works directly with the Associate Director for Academic Operations, providing administrative support to department administration, faculty, and staff.
Requirements and Qualifications
Two years of college required.
At least three years of required work experience. Must be able to work occasional evenings for events.
Bachelor’s degree preferred.

Pay Range $39,930.00 – $59,694.78. Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
