Practice Manager Temporary Assignment – Psychiatry (Great Falls, MT) AWARE Inc. is looking for a Practice Manager to join our psychiatry team in Great Falls, MT. We provide high‑quality care to adults, children, and families, focusing on personal growth and community engagement.

Salary: $60,000.00 per year.

Responsibilities

Work closely with AWARE’s Psychiatric Professional (Prescribers) to ensure communication and collaboration occur for integrated care.

Communicate ideas, instructions, and other information in a clear and precise manner using both written and oral forms of communication.

Handle the day‑to‑day business according to office and medical guidelines; manage daily staffing schedules to ensure the practice runs smoothly.

Work as part of a team and embrace a culturally diverse setting.

Assist in designing patient services and implementing work policies and procedures.

Address and/or perform patient scheduling, technical electronic health record issues, and daily patient flow.

Optimize provider schedules and waitlists.

Regularly review productivity, make staffing and/or scheduling adjustments as needed.

Monitor, coordinate, and follow up on referrals to internal and external providers and partners.

Ensure documentation is completed for tracking and reporting purposes.

Develop relationships with representatives from other agencies‑ referral sources.

Participate in all staff meetings, educational opportunities, and supervisions as directed.

Organize consumer / client / student / patient records using electronic health records.

Supervise daily practice operations such as billing, debt collections in conjunction with AWARE’s Financial Teams, and occupational health and safety.

Assist in filling medication orders, including re‑fills, prescription needs, and monitor inventory for medications and medical equipment.

Assist in reporting and tracking performance benchmarks, include fiscal requirements and budgetary recommendations; monitor, verify and reconcile expenditure of budgeted funds.

Maintain liaison activities with all AWARE Team Members and outside organizations to coordinate practice business, accomplish directives and facilitate resolution of problems.

Complete assigned reports.

Requirements

Bachelor’s degree in a related field (business, administration, behavioral health) with at least one year of office or program management experience; or equivalent post‑high‑school education with healthcare, office or management experience; or progressive experience in a health care system or office.

Proficiency with Electronic Medical Records systems and Microsoft Office Suite; excellent written and oral communication skills; ability to adapt to changes in the work environment, manage competing demands, and handle frequent changes, delays or unexpected events.

Consistently on time, follows instructions, responds to management direction, solicits feedback to improve performance; self‑directed, able to prioritize competing priorities and complete tasks efficiently; demonstrates accuracy, thoroughness and monitors own work for completeness; must have critical and analytical thinking skills.
