General Statement The Associate Director of Financial Aid Operations and Technology manages the use of technology in the Financial Aid Office, including Perceptive Content/SoftDocs, PowerFAIDS and the Jenzabar CX/ Jenzabar One systems. This individual also serves as the primary technology liaison between the financial aid department and other college departments and serves as the functional lead on financial aid data maintenance.
Supervision Received The Associate Director of Financial Aid Operations and Technology reports to the Director of Financial Aid.
Supervision Exercised The Associate Director of Financial Aid Operations and Technology oversees the Financial Aid Systems Manager.
Duties and Responsibilities The Associate Director of Operations and Technology is responsible for: Managing and overseeing importing and exporting Federal data using Jenzabar One (J1), PowerFAIDS, and EDconnect. Overseeing all batch updating and communication processes in PowerFAIDS Overseeing the integration process and workflow with ProVerify, our external verification provider. Managing, maintaining, and optimizing the use of PowerFAIDS, NetPartner, J1 and Perceptive Content/SoftDocs in the administration of financial aid. Responsible for system implementation, analysis, problem resolution, maintenance and enhancement. Overseeing the implementation of annual updates to all systems to prepare for new award years, including the Parm Roll, programming of Cost of Attendance budgets, algorithms for financial aid packaging, packaging formulas, put-in-target rules, and updates to the missing information letter process. Overseeing the mechanics of student communications in PowerFAIDS and J1, including letters, emails, and the use of the PowerFAIDS scheduler. Collaborating with the Associate Director of Financial Aid to ensure continuity in financial aid processes and compliance with federal and state regulations. Assisting in the performance testing, documenting and training of new system implementations, programs and processes. Managing the data integration between the PowerFAIDS and Jenzabar J1 systems. Serving as the primary technical person in the unit and is responsible for maintaining a working knowledge of current issues and trends in the PowerFAIDS and Jenzabar J1 communities as it relates to Financial Aid and reporting. Researching, interpreting and communicating federal/state regulations as needed for implementation and upgrading of software and processes. Recommending and implementing technological improvements to enhance processes within all the functional areas of Financial Aid. Maintaining institutional data standards as well as participating in the user analysis team responsible for communication between the Financial Aid Office, Information Technology (IT) Department and the software vendors. Preparing and developing weekly, monthly and annual reports as needed for administrative decisions and federal and state requirements. Creating and maintaining reports using IBM Cognos and PowerFAIDS as necessary. Conducting and participating in performance evaluations of subordinate staff. Assuming responsibility for the management and supervision of the Financial Aid Office in the Director's absence, as needed. Actively supporting the teaching and learning process; practicing honesty and integrity in and out of the classroom; striving to create and support a student-centered environment while fostering academic innovation and excellence. Working actively with other areas of the college to ensure a spirit of college wide collaboration, collegiality, civility, and teamwork. Respects the function of dissent in an academic institution while advancing a collegial atmosphere of campus collaboration. Minimum Qualifications
Bachelor's Degree from accredited institution with a preference for majors in computer science, information technology or other applications and data-based majors.
Five years' experience in a higher education office with a focus on data including but not limited to Financial Aid, Institutional Research, or Budgeting.
Significant technical and functional experience with Student Information Systems, especially PowerFAIDS.
Ability to utilize federal and state electronic data interfaces and web based services such as COD, CPS, SAIG, NSLDS, EDConnect, and EDExpress.
Expertise with the Microsoft Office Suite of applications including Microsoft Access and familiarity with relational database design.
Experience working with IT to develop technical specifications for data extracts, reports and improvements to processes.
Managerial and supervisory experience.
Excellent oral and written communication skills.
Strong attention to detail.
Ability to work independently and as a team member.
Preferred Qualifications
Master's Degree.
Experience with Non-Term and/or Clock Hour programs.
Experience with Jenzabar One.
Significant knowledge of PowerFAIDS selection sets, algorithms, put in target (PIT) rules, and packaging formula creation.
Experience with and knowledge of NetPartner functionality.
Familiarity with SQL script writing.
