Secretary to the Assistant Principals at Dake Junior High School – Office Clerk III HELPs (FT / 10‑month [7‑12 student calendar] + 9 days)
Assignment Dake Junior High School, 350 Cooper Road, Rochester, NY 14617
Work Hours 7.5 hours per day, 10‑month (7‑12 Student Calendar) + 9 days. 7:00 a.m. – 3:00 p.m. (includes a 30‑minute unpaid lunch).
Responsibilities
Schedules appointments and meetings for the Assistant Principal; maintains the calendar.
Opens incoming mail and distributes outgoing mail.
Procedures correspondence pertaining to the Assistant Principal’s office; prepares student hearing reports.
Prepares and processes mailings for discipline information and other student mailings (attendance/truancy letters, suspension letters).
Maintains long‑term building records of student files in accordance with Board of Education record‑keeping requirements.
Mains main office files and records concerning a wide variety of topics; maintains a filing system for the Assistant Principal.
Updates Details, Attendance, and Discipline Information in Infinite Campus.
Prepares teacher evaluations written by the Assistant Principal; sets up observations and distributes evaluation information.
Prepares and follows up on purchase orders for the Assistant Principal.
Receives and answers telephone inquiries and relays messages for the Assistant Principal.
Assists with discipline and attendance of students.
Performs all related clerical and secretarial duties as assigned by the Assistant Principal.
Receives end‑of‑year attendance for each student and files in student folders.
Sets up tutoring for in‑school and out‑of‑school suspensions; follows up on off‑ground tutoring.
Performs clerical duties related to mid‑term and final exams.
Performs clerical duties related to state testing exams.
Requirements Strong clerical skills and demonstrated experience in an automated office environment; excellent word‑processing, database management, and strong writing skills; ability to work with minimal supervision in a fast‑paced environment.
Qualifications Eligible for Monroe County Civil Service Office Clerk III / Office Clerk III HELPs. Must be eligible for the title under the Office Clerk III HELPs title, have taken the exam and be on the current eligible list, or currently hold the Office Clerk III title.
Minimum qualifications: Graduation from high school or equivalent, plus either (A) completion of at least 30 credit hours from a college or university; (B) one year paid full‑time or equivalent office clerical or secretarial experience; or (C) an equivalent combination of education and experience. Experience as a teller, cashier, or sales clerk will not be considered. Degree must be from an accredited institution; if obtained outside the U.S., independent verification required.
Special requirement: Applicant must possess a valid New York State driver’s license or demonstrate ability to meet transportation needs.
Salary $17.12 – $21.25 per hour (IESA Schedule B).
Start Date As soon as practical.
