Overview
A leading private equity firm in New York City is seeking a highly organized, detail-oriented Executive Assistant to support its Business Development and Investor Relations (IR) team. This individual will play a critical role in enabling efficient fundraising, client communications, and relationship management. The ideal candidate thrives in a fast-paced environment, anticipates needs, and maintains exceptional professionalism across internal and external stakeholders.
Key Responsibilities
Administrative & Operational Support
- Provide proactive executive-level administrative support to senior leaders within Business Development and Investor Relations.
- Manage complex calendars, coordinate internal and external meetings, and handle extensive scheduling across time zones.
- Organize domestic and international travel logistics, itineraries, and expense reporting.
- Prepare meeting materials, presentations, and briefing documents for fundraising and investor meetings.
- Maintain meticulous organization of files, data, and team workflows.
Investor Relations & Client Communication
- Serve as a polished and reliable point of contact for investors, prospective LPs, consultants, and other external partners.
- Draft, review, and coordinate investor communications, meeting follow-ups, and information requests.
- Support the execution of fundraising processes, including tracking interest and managing the flow of materials to prospects.
- Assist with planning investor events, roadshows, and conferences.
CRM & Data Management
- Own and maintain the team’s CRM database, ensuring accurate, timely data entry and reporting.
- Track investor activity, touchpoints, meeting notes, and fundraising pipelines within the CRM.
- Generate CRM-based reports and dashboards to support decision-making and outreach efforts.
Qualifications
- 3–6+ years of relevant experience , with prior Investor Relations experience required (private equity or broader alternatives experience strongly preferred).
- Prior CRM experience required (e.g., Salesforce, Dynamo, DealCloud, or similar).
- Direct experience with client or investor communication is a must , with strong verbal and written professionalism.
- Exceptional organizational skills, attention to detail, and ability to manage competing priorities.
- High level of discretion and judgment in handling sensitive information.
- Proficiency in Microsoft Office Suite; strong PowerPoint and Excel skills preferred.
- Strong interpersonal skills and ability to build trust across teams and with external stakeholders.
