Executive Legal Assistant

Position Overview
We are seeking an experienced Executive Legal Assistant to serve as the front-line administrative professional for a busy Legal Department within a large, complex organization. This role provides high-level support to the Chief Legal Officer, 2–3 staff attorneys, and the quality management/compliance team. The ideal candidate brings strong corporate legal administrative experience, excellent judgment, and the ability to manage sensitive information with discretion.
Key Responsibilities
- Serve as the primary administrative point of contact for the Legal Department, managing incoming calls, correspondence, and inquiries with professionalism and confidentiality
- Coordinate information flow to and from the Chief Legal Officer, responding independently when appropriate
- Prepare letters, reports, administrative documents, and initial drafts of legal documents for review
- Support corporate governance functions, including finalizing, organizing, and maintaining board minutes and key corporate documents
- Maintain electronic and hard-copy legal files, including contracts, leases, litigation documents, and corporate records
- Support litigation management by accepting subpoenas and coordinating with outside counsel, insurance carriers, and internal teams
- Handle insurance verification requests, certificates, renewals, and claims processing
- Schedule meetings, manage calendars, and coordinate departmental activities
- Process bi-weekly payroll support for the legal team and manage invoice submission and follow-up
- Track CLE credits for legal leadership
- Compile and submit corporate card expense reports
- Assist with audit-related documentation requests across multiple entities
- Enter and update contracts in the contract database system
- Complete special projects as assigned by the Chief Legal Officer
Education
High School Diploma required
Associate’s or Bachelor’s degree preferred
Paralegal certificate strongly preferred
Experience
Minimum of 5 years of administrative experience in a legal or corporate environment
Corporate legal office experience strongly preferred
Skills & Competencies
Proficiency in Microsoft Word, Excel, and PowerPoint
Strong written and verbal communication skills with excellent command of English
Ability to type at least 60 WPM
Strong organizational skills and attention to detail
Ability to multitask in a fast-paced professional environment
High level of discretion when handling confidential information
Work Environment & Team

This role serves as the operational front line of the Legal Department
This is a professional executive legal support role, not a personal assistant position
