About this Position
The Lead / Senior Operations Coordinator is a supervisory, systems-focused role within JPNDC's Operations Department. Reporting to the Operations Manager and working in close partnership with the AVP of Operations, this position provides day-to-day leadership of the Operations Coordinator(s) and Administrative Support staff while ensuring consistency, accountability, and data integrity across operational systems.
This role serves as the bridge between strategy and execution, ensuring that front-line administrative and operational work aligns with established Smartsheet tracking structures, SharePoint file governance, reporting cadence, and workflow standards. The Lead / Senior Operations Coordinator supports departmental planning, supervises staff, and ensures operational data and documentation are accurate, timely, and audit-ready.
What You Will Oversee Staff Supervision & Team Coordination
Operations Coordinator(s)
Administrative Assistants / Front Desk staff
Administrative Support Floater(s)
Assign and monitor workloads to ensure adequate front desk coverage, event support, facilities coordination, and administrative coverage.
Support onboarding, training, and cross-training of Operations administrative staff.
Escalate staffing capacity issues, coverage gaps, and performance concerns to the Operations Manager.
Operations Systems, Tracking & Reporting
Serve as the primary owner of operational tracking tools, including:
Smartsheet workplans, trackers, dashboards, and reporting logs
SharePoint folder structures, naming conventions, and permissions
Ensure all Operations staff follow established file storage, documentation, and version-control standards.
Monitor completion of required logs (vendor tracking, space usage, supply inventory, event tracking, asset logs, etc.).
Prepare and submit recurring operational reports for the Operations Manager and AVP of Operations.
Support data quality, documentation consistency, and readiness for audits, leadership reviews, and board reporting.
Administrative & Facilities Oversight
Oversee daily office operations including:
Front desk workflows and visitor management
Conference room and shared space scheduling
Mailroom operations and administrative logistics
Coordinate facilities and vendor requests (cleaning, maintenance, copier, IT tickets, etc.) and track follow-through.
Monitor office supply levels, purchasing requests, and inventory tracking.
Ensure shared spaces are maintained to organizational standards.
Event & Space Coordination (Oversight Level)
Provide oversight and quality control for internal and external events supported by Operations staff.
Ensure event logistics (space booking, catering, AV, accessibility, materials) are tracked and documented properly.
Maintain visibility into the organization-wide event and space calendar.
Support post-event documentation, reporting, and expense tracking.
Cross-Departmental & Leadership Support
Act as a key liaison between Operations and HR, IT, Data, Finance, and program teams on operational matters.
Support the Operations Manager with:
Workplan tracking
Process documentation
Internal systems improvements
Provide operational and administrative support to the AVP of Operations as assigned, including special projects and reporting needs.
Participate in Operations planning meetings and contribute to continuous improvement initiatives.
Other task as assigned by the Operations manager and AVP of Operations.
What It Takes to Be Successful Qualifications
Bachelor's degree in business administration, operations, or related field preferred.
4–6 years of progressive experience in operations, administration, or facilities coordination.
Demonstrated experience of supervising or leading administrative staff.
Strong proficiency in: Microsoft Office Suite (Word, Excel, Outlook, Teams)
Smartsheet or similar project management tools
SharePoint or cloud-based document management systems
Experience with Salesforce or other CRM systems preferred.
Strong organizational, documentation, and follow-through skills.
Excellent written and verbal communication skills.
Bilingual English/Spanish preferred but not required.
Work Environment
Full-time, on-site, Monday–Friday, 9 a.m.–5 p.m.
Occasional evenings or weekends may be required for events or coverage needs.
Hybrid flexibility may be available after 90 days based on performance and department needs.
Employment Terms/Compensation
JPNDC offers a competitive salary range of $68,000–$72,000, commensurate with experience, and an extensive benefits package.
