This remote role has a salary range of $80,000–$110,000 depending on skills and experience, with a generous leave and benefits package.

Summary Of Position The Payroll Manager leads all aspects of payroll processing including balancing payroll budget, documenting all transactions related to employee wages, commissions, and bonuses. The role supports both onsite and remote team members, coordinating closely with Finance, HR, and Operations. The Payroll Manager owns biweekly payroll processing, year‑end activities, and audits, ensuring accurate payroll operations, strict regulatory compliance across states, and data integrity across multi‑state, multi‑company payrolls.

Essential Functions And Responsibilities Biweekly Payroll Processing (US locations, backup for Canada as needed)

Lead end‑to‑end multi‑state, multi‑company payroll processing for exempt and non‑exempt employees (350+ employees, over 27 states with 11 separate entities), including wage/hour classifications, overtime, bonuses, commissions, variable compensation, profit sharing, garnishments, leave, terminations, and adjustments.

Ensure accurate tax withholdings, benefit deductions, wage garnishments, child support orders, and reimbursement workflows; manage jurisdiction‑specific nuances.

Reconcile payroll data for accuracy; resolve discrepancies with HR, site managers, and department supervisors.

Ensure payroll runs are completed on time and in compliance with internal controls and company policies.

Process and submit international monthly payroll through HRIS system for EOR population.

Tax Compliance & Payments

Prepare and file all required payroll tax returns (federal, state, local in the US) and respond to notices from tax authorities.

Manage year‑to‑date tax reporting, unemployment insurance, and reconciliations for the US.

Stay current with payroll tax regulations across the US; advise on changes affecting payroll.

Quarterly/Year‑End Processing & Audits

Lead tasks including W‑2s, quarterly 941s, 940, 1099s (if applicable) and related state filings.

Prepare and distribute year‑end payroll documents; respond to employee inquiries and provide year‑end guidance.

Coordinate internal and external audits related to payroll and payroll tax compliance.

Internal Controls & Data Integrity

Maintain comprehensive documentation of payroll processes, controls, and SOPs.

Perform regular reconciliations of payroll GL accounts, benefits, withholdings, and payroll accounts.

Monitor access controls, data security, and confidentiality of payroll information.

System Management & Optimization

Administer and optimize the payroll system (Rippling) for US, including setup, tax rules, reporting, and workflows.

Collaborate with IT/HR to implement system updates, patches, and process improvements; support integrations with time and attendance systems.

Oversee funding feeds.

Develop and generate payroll reports for management, audits, and compliance; provide insights to operations leadership.

Prepare and present regular payroll and benefits metrics and analytics to senior leadership; identify opportunities for cost savings and program enhancements.

Cross‑Functional Collaboration

Partner with HR/Benefits to onboard/offboard employees, changes in compensation, and benefit enrollments.

Collaborate with management to address shift differentials considerations.

Work with Finance/GL for monthly close, variance analysis, and posting.

Provide payroll guidance to department managers.

Compliance & Legal

Ensure adherence to applicable federal, state, and local laws and regulations; track wage and hour compliance, exemptions, and overtime rules across states.

Maintain up‑to‑date knowledge of payroll regulations, tax credits, unemployment regulations, and reporting requirements.

Manage employee data privacy and secure handling of payroll information; ensure confidentiality.

Experience And Education

5+ years of progressive payroll processing experience required, including multi‑state and multi‑company/entity payroll experience. Manufacturing setting or similarly complex setting preferred.

Strong knowledge of US payroll processes, taxes and year‑end obligations.

Intermediate to advanced experience with Excel or Google Sheets (v‑lookups, pivots, data imports/exports).

Extensive experience specifically with Rippling, highly preferred.

Payroll system implementation.

CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) preferred.

Ability to maintain strict confidentiality regarding compensation, benefits, employee issues, etc.

Demonstrated experience providing outstanding customer support.

High school diploma or equivalent required, Bachelor’s degree preferred.
