Position Summary The
Staff Accountant
maintains accurate general accounting records to support high‑quality fiscal operations. The role focuses on accounts payable, expense reports, credit‑card reconciliations, and general ledger activity while supporting month‑end close, audits, and internal controls. The position works closely with finance leadership, internal departments, and external vendors in a fast‑paced nonprofit accounting environment.
Key Responsibilities Accounting Operations
Maintain accurate financial records in compliance with GAAP, nonprofit accounting standards, and applicable regulations
Prepare and reconcile journal entries, including credit‑card activity and expense reports
Assist with month‑end and year‑end close, including AP accruals and reconciliations
Reconcile AP subledger to the general ledger
Assist with audit preparation and supporting schedules
Accounts Payable & Vendor Management
Process vendor invoices and employee expense reports in accordance with internal policies
Set up and maintain vendor records, ensuring proper documentation (W‑9s, contracts, amendments, etc.)
Reconcile vendor statements and resolve discrepancies
Respond to vendor inquiries and maintain strong vendor relationships
Prepare and support annual 1099 reporting
Systems & Reconciliations
Maintain AP and payment systems, ensuring accuracy of vendor profiles and supporting documentation
Reconcile AP system activity to the general ledger on a monthly basis
Ensure timely, accurate coding, posting, and payment of transactions
Collaboration & Internal Controls
Partner with internal departments to ensure timely and accurate financial reporting
Participate in ongoing evaluation and improvement of accounting processes and internal controls
Stay current on accounting standards, nonprofit best practices, and regulatory changes
Additional Duties
Assist with cash counts and special events as needed
Support special projects and other duties as assigned
Minimum Qualifications
Bachelor’s degree in Accounting or a related field
4+ years of accounting experience
Preferred Qualifications
Nonprofit accounting experience, preferably in a complex environment
Experience with AP automation tools (e.g., Anybill, Bill.com or similar)
Experience with ERP systems such as Great Plains
Strong Excel skills required
Knowledge, Skills & Abilities
Highly organized and detail‑oriented
Strong written and verbal communication skills
Ability to explain accounting concepts to non‑financial stakeholders
Collaborative working style with the ability to build strong internal and external relationships
Ability to follow and enforce accounting policies, procedures, and internal controls
Working Conditions
Hybrid work schedule (minimum 3 days onsite initially)
Prolonged sitting, standing, and computer use required
Occasional lifting of materials up to 25 pounds
