Base pay range $70,500.00/yr - $75,000.00/yr
We’re seeking a highly accurate and detail‑oriented Payroll Specialist to process U.S. and Canada payroll, manage multi‑state garnishments, and support ongoing compliance. This individual will work heavily within ADP and collaborate closely with HR and Finance to ensure an exceptional employee experience.
Responsibilities:
Process bi‑weekly payroll for U.S. and Canada employees using ADP.
Review timecards, validate hours, and reconcile discrepancies prior to payroll submission.
Maintain employee payroll records, including new hires, terminations, wage changes, and deductions.
Manage multi‑state garnishments, including child support, tax levies, creditor garnishments, and wage orders; ensure compliance with each state’s requirements.
Support compliance across multiple U.S. states and Canadian provinces.
Process off‑cycle payments, bonuses, commissions, and retroactive adjustments.
Serve as the primary contact for payroll inquiries, providing timely and professional support.
Assist with year‑end payroll tasks including W‑2s, T4s, audits, and tax filings.
Generate payroll reports and partner with HR/Finance on labor cost and compliance reporting.
Coordinate payroll‑related components of benefits and retirement plans, including deductions, enrollments, and employer contributions.
Identify and recommend process improvements to streamline efficiency and accuracy.
Professional Qualifications:
Bachelor’s degree in Accounting, Finance, Business, HR, or a related field (required).
3+ years of payroll processing experience, including multi‑state U.S. payroll.
High attention to detail, strong confidentiality, and excellent analytical skills.
Excellent communication and customer‑service skills.
Experience using ADP TotalSource (preferred).
Hands‑on experience with Canadian payroll processes.
Knowledge of federal, state, and provincial wage & hour laws.
Familiarity with payroll‑related benefits and retirement plan administration (401k, RRSP, etc.).
Proficiency in Excel (VLOOKUP, pivot tables preferred).
Physical Requirements
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this Job, the employee is regularly required to sit; use hands to handle or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl. The employee must be able to lift and/or move up to 15 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Work is performed inside a temperature‑controlled office building with an open floor plan. This job operates in a professional office environment with a business casual dress code. This role will routinely utilize standard office equipment such as computers, phones, photocopiers, filing cabinets, and other office machines. Must be able to work in a fast‑paced environment.
