Field Services Administrator & Spare Parts Coordinator AIT is the world's largest provider of automation, factory integration and tooling solutions dedicated to the global aerospace, defense, and space launch vehicle industries.

Summary : The role actively supports AIT’s overall recurring general customer service and spares activity as well as any specific account assignments. Support administrative tasks for customer service both planned and on demand activity. Prepare, organize and maintain Manufacturing Maintenance records using CMMS system to assure that all spare parts are properly identified and kept current for assigned site responsibilities. Assist with spare parts inventory management to assure lowest cost and optimal inventory levels. Responsible for performing accurate and timely inventory transactions of materials consumed in the manufacturing process.

Duties and Responsibilities

Support administrative activities related to quoting, follow up, and invoicing as directed for both services and spares.

Liaise with customers to provide best in class customer service and promote strong customer relationships.

Liaise with purchasing and maintenance/engineering for scheduling spare parts delivery as required.

Work with outside vendors for procurement and services.

Effectively supports maintaining spare parts inventory system and its business processes.

Supports equipment enrollment and data entry into CMMS.

Use CMMS system to control inventory to ensure spare parts availability for work orders.

Order and stock spare parts.

Support maintenance and reliability initiatives, as directed.

Perform electronic transactions for issuing/reserving materials to jobs.

Process and close manufacturing jobs and record production quantities produced.

Move inventory (physically/electronically).

Conduct stock checks, cycle counts and participate in periodic physical inventory counts as directed.

Identify inventory discrepancies, investigate potential causes and recommend corrective action.

Monitor and maintain accurate inventory labeling.

Assist in maintaining/update manuals and system documentation, as required.

Assist in generating and maintaining system service and downtime logs.

Assist in generating and maintaining system preventative maintenance schedules and logs

Assist in ordering new spare parts with the main office spare parts coordinator.

Assist in maintaining accurate records.

Assist management with CMMS work orders, work schedules, equipment maintenance schedules, training of the new employees, reporting and other related activities.

Perform other duties as assigned.

Education and Work Experience

High School Diploma or GED Required.

Associate's or technical degree preferred.

Two to four years related experience and/or training.

CMMS data entry experience required.

SAP, MAXIMO, PLEX experience preferred.

Work Authorization / Security Clearance Requirements

Identifies problems and review relevant information to develop options, then implement the solutions.

Works effectively with different levels of management, team members and customers.

Work Conditions

Environment Type : Indoor. Office environment. Temperature controlled.

Exposure Types : No adverse environmental conditions expected.

Work Hours : Standard work schedule, overtime may be necessary for meeting deadlines, required travel, and emergent conditions. On-call for emergent conditions.

Travel Requirements : Remote - perform job responsibilities from customer work sites. This position may involve travel up to 10% of the time.

Physical Demands : Light work that includes moving objects up to 20 pounds. Repeating motions that may include the wrists, hands and/or fingers.
