Position Summary The Remote Shipping Coordinator is responsible for arranging, scheduling, and monitoring freight pick‑ups with carriers, ensuring timely and cost‑effective transportation of goods. This role manages all communication with carriers, customers, and internal teams virtually, while maintaining accurate shipping documentation and tracking information. The position requires strong organizational skills, excellent communication, and the ability to coordinate logistics from a remote environment.
Key Responsibilities Freight Coordination & Pick‑Up Scheduling
Arrange and schedule daily freight pick‑ups (LTL, FTL, parcel, courier, and specialty carriers).
Communicate pick‑up details with carriers and confirm appointments.
Compare carrier rates, transit times, and availability to select the most efficient shipping option.
Monitor scheduled pick‑ups and proactively resolve delays or missed pickup issues.
Documentation & Compliance
Prepare and manage bills of lading, freight quotes, shipping labels, and other carrier‑required documents.
Ensure all shipping documentation is accurate and aligned with customer and carrier requirements.
Maintain digital records of freight quotes, carrier confirmations, and invoices for audit and reporting.
Tracking & Communication
Track freight status from pick‑up through delivery using carrier portals and internal systems.
Provide customers and internal teams with timely updates on freight movement.
Communicate shipment exceptions, delays, and freight issues, coordinating corrective actions as needed.
Carrier & Customer Coordination
Serve as the primary point of contact for carriers and freight brokers.
Respond to customer inquiries regarding shipment arrangements, tracking, and documentation.
Build strong working relationships with carriers to improve service levels and negotiate rates when applicable.
Remote Operations Support
Maintain clear communication with warehouse teams to ensure shipment readiness before coordinating pick‑ups.
Update ERP/WMS systems with freight details, tracking numbers, and pick‑up confirmations.
Participate in virtual logistics meetings and provide reporting on freight activity and performance.
Skills & Qualifications
1–3 years of experience in logistics, freight coordination, or transportation scheduling (remote).
Strong understanding of LTL/FTL freight, broker networks, and carrier pick‑up processes.
Proficiency with carrier portals, TMS/ERP systems, and digital communication tools.
Excellent organizational, time‑management, and multitasking abilities.
Strong written and verbal communication skills; ability to collaborate effectively in a remote environment.
Ability to troubleshoot shipping issues with urgency and professionalism.
Preferred Qualifications
Experience working with freight brokers and negotiating rates.
Understanding of freight classifications, NMFC codes, and basic transportation compliance.
Prior remote logistics or dispatching experience.
Working Conditions
Fully remote position with regular communication via email, phone, and virtual platforms.
May require extended availability during peak shipping periods or to resolve urgent freight issues.
