Beacon Hill has partnered with a growing organization in downtown Chicago in hiring a part‑time Executive Assistant to start immediately. The Executive Assistant provides high‑level administrative support to the Executive Director and plays a key role in donor database management and event coordination. This position requires exceptional organizational skills, attention to detail and the ability to manage multiple priorities in a fast‑paced environment. This role is 27 hours per week.
Base pay range $35.00/hr - $39.00/hr
Key Responsibilities
Executive Support
Manage the Executive Director's calendar, schedule meetings, and coordinate travel arrangements.
Prepare correspondence, reports, and presentations as needed.
Serve as a liaison between the Executive Director and internal/external stakeholders.
Donor Database Management
Maintain and update donor records in the organization's CRM/database.
Process donations and generate acknowledgment letters.
Produce donor reports and assist with data analysis for fundraising campaigns.
Event Planning
Assist in planning and executing donor events, fundraisers, and special programs.
Coordinate logistics including venue, catering, invitations, and guest lists.
Support on‑site event management and post‑event follow‑up.
General Administrative Duties
Handle incoming calls and emails, ensuring timely and professional responses.
Organize and maintain electronic and physical files.
Perform other duties as assigned to support organizational goals.
Qualifications
5+ years of proven experience as an Executive Assistant
Bachelor's Degree is required.
Familiarity with donor management systems (e.g., Salesforce, Raiser's Edge, or similar).
Strong event planning and project management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite and Google Workspace.
Ability to maintain confidentiality and exercise discretion.
Highly organized, detail-oriented, and able to work independently.
