Job Duties

Accurately post all new and used vehicle deals into the DMS and ensure complete, compliant deal jackets

Process and submit all title and registration paperwork for retail, lease, wholesale, and trade-in vehicles

Verify all supporting documentation, including VINs, odometer statements, lien releases, and ownership records

Maintain and reconcile accounting schedules related to billing, titles, and vehicle sales

Record and apply customer payments and prepare payoff checks while coordinating with financial institutions

Track title applications, follow up with tag agencies, lenders, and the DMV, and resolve any discrepancies

Maintain organized records for titles, tag applications, tax forms, and all required documentation

Assist with month-end close, audits, and departmental reporting

Support sales, finance, and accounting teams with deal-related questions and administrative needs

Uphold dealership policies, confidentiality standards, and compliance with all applicable regulations

Perform other duties as assigned to support overall dealership operations

Qualifications & Experience

Prior automotive billing and vehicle title processing experience required; high-volume dealership experience preferred

Knowledge of DMV processes, titling regulations, tag agencies, and lienholder coordination

Proficiency in dealership management software (Automate preferred) and Microsoft Office Suite

Exceptional accuracy, attention to detail, and organizational skills

Ability to manage multiple priorities and meet deadlines in a high-volume environment

Strong communication skills and a positive, team-oriented attitude

Valid driver’s license with a clean driving record

Must pass a pre-employment background check and drug screening
