Executive Assistant (Hybrid) Location:

Nashville, TN (Hybrid – 3 days in office per week)

About The Role We are seeking a highly skilled and proactive Executive Assistant to support our CEO and CFO. This role ensures seamless executive operations, optimizes leadership workflows, and enables executives to focus on strategic initiatives.

Key Responsibilities

Manage and prioritize complex calendars for the CEO, President, COO, and CFO.

Prepare executives for daily operations through agenda creation, document gathering, and timely follow‑up on action items.

Serve as the primary point of contact for internal leaders, clients, and external partners.

Draft, edit, and produce high‑quality correspondence, presentations, and reports.

Lead planning and logistics for domestic and international travel.

Support executive‑level meetings and board interactions through material preparation, minute‑taking, and task tracking.

Coordinate company events, onsite/offsite meetings, and leadership activities.

Maintain organized filing systems for confidential executive records and strategic documents.

Manage expense reports, invoices, budget tracking, and financial documentation.

Assist with cross‑functional projects by coordinating deadlines, tracking progress, and facilitating communication between executives and internal teams.

Collaborate with Operations to oversee general office needs, supplies, equipment, and workflow improvements.

Serve as the primary point of contact for office vendors, managing communications, contracts, and issue resolution.

Conduct research, compile data, and prepare summaries to support executive decision‑making.

Maintain strict confidentiality and use sound judgment when handling sensitive information.

Support internal process improvement initiatives to enhance executive workflows and organizational efficiency.

Provide backup support to administrative colleagues and perform additional duties as needed.

Qualifications

Bachelor’s degree in Business Administration, Communications, or related field (or equivalent experience).

3+ years of experience supporting C‑Suite executives or senior leaders (healthcare experience preferred).

Proven ability to manage complex calendars, coordinate high‑level meetings, and navigate shifting priorities.

Exceptional written and verbal communication skills.

Strong discretion, integrity, and professionalism in handling confidential information.

Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams, Zoom, or Slack.

Highly organized, detail‑oriented, and capable of managing multiple tasks under tight timelines.

Experience coordinating travel, events, and cross‑functional projects.

Ability to work independently, anticipate needs, and proactively solve problems.

Strong documentation, planning, and collaboration skills.

Benefits and Compensation

Competitive salary: $43,000 – $48,000 per year.

Hybrid work model with 3 days onsite and 2 days remote.

Work Environment

Hybrid position requiring three days onsite at our Nashville office and two days remote.

General hours: Monday through Friday, 8 am – 5 pm CST.

Work is generally sedentary, requiring long periods at a workstation.

Required: reliable internet connection, phone, and a dedicated secure workspace in compliance with HIPAA privacy and security policies.

Interview Process

Recruiter phone screen.

Virtual interview with HR Specialist (camera required).

In‑person interview with CEO.
