Executive/Personal Assistant to Global Executive
We are seeking an Executive/Personal Assistant to support a global executive in the biotech/pharmaceutical industry. This role requires high-trust, exceptional judgment, discretion, and the ability to seamlessly manage both business and personal logistics for an executive with a demanding international schedule. This position requires professionalism, flexibility, and the ability to anticipate needs in a fast-paced environment. This also involves close collaboration with a global support team and existing executive assistants based internationally. Only candidates from NYC, Miami, and or Greenwich, CT will be considered, or candidates willing to relocate to those areas.
Key Responsibilities
Manage complex calendars across multiple time zones
Coordinate domestic and international travel, visas, and logistics
Prepare daily briefings, schedules, and priority lists
Act as a liaison between internal teams, external partners, and household staff
Handle confidential and sensitive information with the highest level of discretion
Coordinate personal appointments, residences, and property-related logistics
Oversee event preparation, attire coordination, and protocol needs for meetings and functions
Work in partnership with household managers and external vendors
Provide hands-on support while maintaining strong professional boundaries
Work closely with a lead executive assistant managing global logistics
Coordinate with additional U.S.-based administrative support
Support cross-border scheduling and operational continuity
Align with HR and operations teams for planning and execution
Qualifications
Minimum of 3+ years supporting C-level executives in both professional and personal capacities
Experience supporting high-net-worth individuals strongly preferred
Exceptional organizational and coordination skills
Proven ability to anticipate needs and exercise strong common sense and judgment
High stress tolerance with the ability to manage multiple priorities
Strong sense of etiquette, professionalism, and discretion
Polished and professional presence for executive settings
Comfortable working evenings or outside standard business hours when needed
Willingness to travel domestically and internationally (30%)
Fluent or conversational in Mandarin
Ability and willingness to be present at executive residences as needed (hybrid environment)
Salary:
$150,000–$200,000/yearly DOE + benefits
Location:
New York City || Candidates from Miami and/or Greenwich, CT will also be considered || Hybrid
