Staff – Office/Clerical Job Duties

The Executive Assistant will assist Graduate Programs for the College of Business. Duties include: thorough knowledge of policies and procedures for graduate students enrolled in the College of Business and assist with written documentation of these procedures. Review procedures periodically and make updates as needed. Serve as point of contact for information concerning the activities, policies, reports and deadlines for the College of Business. Respond to inquiries on university and College administrative policies and procedures and be expected to know the policies and procedures outlined in ECU’s Faculty Manual and Business Manual, the policies and procedures of administrative offices at ECU, the policies of College of Business and state regulations that might affect university employees and units. Assess and resolve unprecedented problems that require research and review of policies and procedures. Coordinate and communicate information, projects and activities among administrative support staff, professional staff, department chairs, college and department committees, university committees and other groups throughout ECU. Communicate highly complex information in a clear and understandable manner. Work with highly sensitive information and advise, interact and counsel management and employees on a wide range of sensitive issues which requires confidentiality and professionalism at all times. Manage the Dean’s calendar to assure that all important responsibilities, commitments and deadlines are met. Collaborate, review and prepare speeches/presentations and other materials for the Dean, when necessary. Develop and prepare correspondence as needed. Review incoming documents, correspondence, confidential reports and other materials for the Dean and provide the Dean with any historical information or related documents and prepare responses when necessary. Submit travel documents for Dean, Associate Deans, and Directors for the College of Business. Assist with graduate program travel reimbursements and purchases. Assist with special events such as graduation, donors annual banquet, donor meetings, scholarship banquet, College Holiday banquet, and additional events as required. Assist Associate Dean and Director of Outreach with donor letters of recognition and additional correspondence as needed. Document and update event procedures when necessary. Schedule meetings and appointments as requested. Independently provide administrative oversight and manage daily business functions. Respond to shifting priorities, implement new initiatives and establish, interpret, modify and monitor Dean’s office policies for effectiveness and viability. Plan, develop and implement strategies, policies and procedures to ensure effective completion of tasks, efficient use of time and meeting of deadlines. Organize and attend meetings of the dean, the senior management team and the department chairs. Develop agendas, collect and prepare documents needed for meetings, arrange for presentations to be made by other university administrators or special guests, provide information and reports at the meetings and serve as facilitator for follow‑up actions from these meetings. Serve as signature and approval authority for the dean for a number of documents. Approve these documents and/or processes on behalf of the dean on a thorough understanding of the policies of ECU’s Department for People Operations, Success, and Opportunity (POSO), Academic Affairs, and University, state and federal policies and regulations regarding personnel actions and budgeting processes. Answer daily requests for information and/or advice. Minimum Education/Experience

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience.
