Job Description The Imaging Patient Services Coordinator Float provides total medical office support, including registration, scheduling, and HIM functions. The role manages patient registration and scheduling, obtains insurance and demographic information, collects co‑pays, ensures precertification authorizations, monitors inbound and outbound documentation, and handles these functions for both Tennessee Oncology and non‑TN Oncology patients.

Essential Functions

Answer telephones and greet patients courteously and efficiently.

Ensure front area and waiting room are presentable.

Follow policies and procedures to standardize processes across all imaging centers.

Route messages to the appropriate discipline.

Conduct patient registration and scheduling processes.

Obtain pre‑registration, demographic, and insurance information and enter it into the Radiology Information System (RIS).

Collect co‑payments at the time of service and manage daily cash receipts.

Reply to instant messages related to patient insurance, co‑pay questions, and coverage issues in a timely manner.

Provide patients with oral contrast as indicated by scan type or special instructions.

Prepare charts at least two days in advance by reviewing orders for accuracy of scan type, ordering physician, CPT codes, diagnosis codes, and special instructions.

Obtain necessary records prior to patient appointments.

Review central precertification team comments and notify outside billing and in‑house billing departments.

Designate billing requirements in RIS and email to appropriate persons (e.g., Q‑1 Modifier, KX Modifier).

Prepare the Electronic Health Record (EHR) for review by clinical staff.

Ensure required paperwork is provided to and completed by the patient.

Monitor and route inbound and outbound faxes.

Open and distribute mail as required.

Electronically scan patient records into RIS.

Distribute outbound correspondence or copies of records as necessary.

Complete the request for medical records process.

Register new patients in RIS before scheduling.

Create patient accounts in the Patient Management System (PMS) and verify benefits.

Schedule patient imaging tests following proper procedures.

Respond promptly to patient, physician, and clinical requests.

Communicate with other staff members using the instant messaging system.

Travel/float to other imaging centers for business needs.

Maintain confidentiality of patient information.

Adhere to all Tennessee Oncology policies and procedures.

Perform other duties as assigned.

Education and Experience

High school graduate or equivalent with GED.

Two years of professional office and/or customer service experience preferred.

Electronic Medical Records experience preferred.

Excellent customer service skills.

Proficient in Microsoft Office Suite.

High degree of initiative, judgment, and discretion.

Promotes positive customer relations.

Great verbal, listening, and written communication skills.

Ability to work productively and effectively in a fast‑paced environment.

Strong organizational skills and attention to detail.

Dependable.

Physical Requirements

Able to travel to all imaging centers when necessary.

Able to lift 25 pounds.
