Position Purpose Together with the President’s support team, the Executive Assistant (EA) supports the highly complex schedule of the President, prepares meeting materials and correspondence, staffs the President at meetings, and supports day‑to‑day operations of the President’s Office as needed. The EA serves as a representative of the President’s office, engages with key stakeholders, and maintains a professional and welcoming office presence.
Key Responsibilities
Manage the President’s calendar as a living, strategic document, constantly adapting and optimizing the schedule to reflect shifting institutional priorities.
Coordinate complex travel arrangements, both professional and personal, ensuring seamless execution.
Anticipate conflicts and adjust scheduling with tact and diplomacy.
Maintain and update calendar tracking documents and support personal travel and logistics in support of the President’s role.
Coordinate logistics for Board of Trustees meetings, Commencement, and other major institutional gatherings.
Assist with preparation, materials, logistics, catering, and follow‑through for high‑profile events.
Draft and edit briefing materials, emails, and other communications, ensuring confidentiality, tone, and accuracy.
Provide flexible support to the President and the Office as new priorities emerge; cover or support colleagues during peak activity or staff transitions.
Collaborate with the President’s Office team on special projects, initiatives, and institutional events that may fall outside regular responsibilities.
Required Qualifications
Minimum 6+ years of experience supporting a senior executive.
Bachelor’s degree (or equivalent experience). 6+ years of relevant experience.
Exceptional written and verbal communication skills.
Excellent organizational and time‑management skills.
Experience managing complex calendars with strategic intent and political sensitivity.
High technological fluency – proficient in Google Workspace, Microsoft Office, and collaborative tools.
Steady under pressure, with strong emotional regulation and interpersonal tact.
Comfortable handling sensitive and confidential information with discretion.
Excellent judgment, situational awareness, and responsiveness in a fast‑paced, high‑accountability setting.
Preferred Qualifications
Experience in higher education, nonprofit, or public‑sector environments.
Experience planning events.
Additional Information
Some evening and weekend work required.
