Job Summary The Department of Neurology seeks a detail‑oriented Administrative Support Assistant II to provide expert administrative support to the Division Chief, faculty, and other division staff. The role requires minimal supervision and demands a proactive approach, strong attention to detail, and the ability to manage competing priorities.
Responsibilities
Schedule and maintain calendars, meetings, and travel itineraries for Division Chief, faculty, and division staff.
Triage high‑volume calls and coordinate visitor travel and visits.
Handle confidential and routine correspondence, evaluations, reports, and emails.
Prepare and circulate agendas, minutes, and related materials for division meetings.
Compile and maintain program/division call schedules, rotation schedules, and conference schedules, ensuring accuracy with Amion and Epic.
Support mobile clinic maintenance, process leave requests, travel authorizations, purchase orders/reimbursements, and expense reports.
Provide administrative support to Principal Investigators including lab setup and order processing.
Maintain division website and UF Health websites; coordinate marketing with UF Health Communications.
Cover main phone lines and front desk, direct patient calls to Patient Access Center, and support peer‑to‑peer calls regarding patients.
Assist recruitment, event support, and guest coordination—travel, scheduling, onboarding, and related logistics.
Maintain division knowledge of policies, resolve complex issues, and serve as building emergency contact for the neurovascular academic office.
Qualifications
High school diploma or equivalent and at least seven years of relevant administrative experience.
Experience providing administrative support in an academic medical environment to physicians, faculty, or leadership.
Proficiency with Microsoft Office 365 (Outlook, Excel, PowerPoint, Word, Publisher), Adobe Acrobat, and Zoom.
Strong oral and written communication, organization, time‑management, interpersonal, and problem‑solving skills.
Ability to maintain confidentiality and handle sensitive materials.
Valid driver’s license with personal vehicle access.
Demonstrated ability to manage competing priorities with minimal supervision.
