General Description / Primary Purpose The Coordinator Grants Administration manages the review, execution and administration of grants‑related research contracts and other forms of research agreements with external constituents for the University, to ensure their effective and efficient management and to contribute to the achievement of the University’s research, research funding, compliance and intellectual property protection goals.

Job Functions

Works directly with faculty and staff to identify funding opportunities, create budgets and produce proposals with optimal prospects for success.

Serve as a liaison between faculty, administration, and external sponsors.

Reviews proposals for accuracy, completeness, and compliance with applicable University and State policies, agency guidelines and standards.

Interprets relevant regulations, guidelines, and University policies, and assists Principal Investigators with the interpretation of regulations, guidelines, and policies, as necessary.

Ensures that proposals receive required approvals and clearances from appropriate academic administrators and compliance boards.

Maintains databases and generates required tracking spreadsheets and reports.

Assists with the development of materials and conducts workshops, training sessions and informational meetings to aid the University community in accessing the services of the ORSP and improving proposal development.

Assists in the identification and development of contracts and grants that support the interests and expertise of University faculty and staff.

Assist faculty in interpreting sponsor guidelines and requirements.

Assists with identifying potential collaborators to strengthen proposals.

Provide guidance on proposal structure, compliance, and submission timelines.

Prepares or reviews budgets which result in signed agreements for funding. Budget and funding calculations are created with faculty and other ORSP staff.

Collaborate with other ORSP staff units for seamless administration.

Ability to manage multiple projects and deadlines.

Other duties and special projects as assigned.

During declared campus emergencies, this position may be required to perform specific job‑related duties at a designated off‑campus location or place of residence.

Marginal Functions Serves as an internal consultant guiding other staff in matters related to negotiation, management and processing of grants‑related contracts/agreements.

Supervision Received The Coordinator Grants Administration reports to the Associate Director of Research Development and Contract Administration and receives only indirect daily supervision. Guidance in this position consists in general of a collaborative discussion and agreement on priorities and directions which the overall Office needs to take. The incumbent will consult with and receive advice from the University’s General Counsel as needed.

Required Qualifications Master’s or Bachelor’s degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
