About the College/Unit/Department As the 4th largest public college of education in the country and the 3rd largest college at UGA, the Mary Frances Early College of Education (MFE COE) improves the lives of residents of Georgia and beyond through our instruction, research, and service. The MFE COE is a comprehensive college with disciplines focused on teacher preparation, counseling and human development, communication sciences, human movement sciences, career development, student affairs, and educational administration and policy. We place significant emphasis on graduate education with approximately 40% of our students at the graduate level, making us the second largest college at UGA with respect to graduate education.

Employment and Benefits Full Time – FTE 1.00, Classification Title: Administrative Assistant II, FLSA: Non‑Exempt, Minimum Qualifications: High school diploma or equivalent and 2 years of related experience.

Position Summary This position provides administrative and operational support for departmental programs, faculty, and staff. Responsibilities include clerical tasks, communication support, recordkeeping, and assistance with events and daily operations. The role requires strong organizational skills, attention to detail, and the ability to work effectively with students, faculty, and visitors.

Duties/Responsibilities – Overview 40% Clerical Duties

Order and maintain office and lab supplies and assist faculty, staff, and graduate students with related requests.

Manage incoming and outgoing mail and shipments.

Maintain inventory of keys and access items and coordinate with campus partners when replacements are needed.

Serve as departmental liaison for parking‑related requests.

Provide administrative support for workshops, clinics, and other departmental activities.

Record meeting notes for departmental meetings when needed.

Assist with reserving rooms and departmental spaces through university scheduling systems.

Maintain and update departmental signage, nameplates, and displays.

Participate in cross‑training to provide support for inventory, fee spending, Memorandums of Understanding (MOUs), syllabi processes, and similar functions.

25% Department & Program Support

Assist with processing payments or documentation for visitors or special guests as needed.

Assist program coordinators with routine tasks such as material preparation, ordering items, or coordinating activities.

20% Accounting Support

Assist with routine purchasing and financial processes for departmental activities.

Help maintain financial records and reconcile payments as directed.

Assist with processing incoming payments and deposits through appropriate university systems.

Support account setup and payment processes for research participants and other departmental needs.

10% Communication & Front Desk Support

Serve as initial point of contact for visitors and callers and provide general front desk support.

Provide telephone reception and assisting with routine inquiries as needed.

Offer customer service and administrative support to internal and external stakeholders.

5% Departmental Event Planning

Assist with planning and coordinating departmental events, including scheduling venues, supporting travel arrangements, and helping with logistics.

Submit event‑related invoices and documentation for processing.

Assist with ordering recognition items or materials for events as needed.
