Position Summary Supported by the mission‑driven culture of Villanova University, the Recreation Center Operations Coordinator is responsible for the day‑to‑day operations of the Villanova Recreation Center and adjacent outdoor recreational facilities.
The Coordinator provides operational oversight, personnel coordination, risk management, and a commitment to excellent customer service. The role works closely with Fitness & Recreation staff, university partners, and outside groups to support operational needs of the Dixon Center and surrounding recreational spaces. The Coordinator also serves as a key liaison with facility maintenance and custodial staff to ensure operational readiness and a positive member experience, and promotes fiscal responsibility through efficient student staffing practices, accurate payroll submissions, and the stewardship of equipment and supplies.

Key Responsibilities
Recreation Operations Coordination
Coordinate daily operational needs of the Recreation Center, Dixon Center, and adjacent outdoor recreation spaces.
Support on‑shift activities through collaboration with Student Recreation Center Supervisors.
Conduct routine walkthroughs to monitor facility activity, reinforce policy, and address operational questions or concerns.
Maintain a strong customer‑service presence and foster a welcoming environment for all facility users.
Coordinate operational logistics for recreation events, reservations, and special activities.
Serve as an operational point of contact for Fitness & Recreation staff, university partners, and external groups using the facilities.
Assist in on‑site management of recreation programming as needed.
Student Employment & Scheduling Coordination
Coordinate administrative components of the student worker program supporting recreation operations.
Coordinate hiring logistics and onboarding steps for student employees.
Prepare and submit student personnel action changes in accordance with university processes.
Ensure accurate student employee time and attendance submissions.
Maintain records related to certifications, trainings, schedules, and employment status for student recreation staff.
Support Student Recreation Center Supervisors with schedule development and daily staffing adjustments.
Support performance‑related processes, including informal feedback, check‑ins, and documentation.
Equipment & Operational Support
Support recreation‑specific equipment coordination, ensuring safe, organized, and functional tools and resources.
Coordinate maintenance needs for recreation‑related equipment and submit service requests.
Monitor and communicate equipment issues identified during walkthroughs or reported by student staff.
Support cleaning and upkeep schedules for fitness and recreation equipment.
Maintain inventories of recreation equipment and operational supplies.
Assist with operational setups, equipment checks, and routine readiness tasks supporting daily activities and events.
Minimum Qualifications
Formal Education
– Bachelor’s degree required; preferred field: Recreation Management, Sports Management, or related area.
Certification
– First Aid, CPR, and AED certification required (or obtained within a specified period after hire).
Work Experience
– 0‑2 years in recreation operations, facility operations, campus recreation, athletics, hospitality, student development, or related field.
Relevant Experience
– Student employment, internships, or graduate assistantships may count.
Customer Service Experience
– Experience working in a customer‑service or student‑facing environment.
Work Skills
– Strong customer service, excellent organizational skills, effective communication (verbal & written), ability to prioritize, adapt to changing needs, and collaborate with student employees.
Specific Job Knowledge
– Familiarity with recreation center operations, fitness equipment safety, customer service expectations, and risk management principles.
Equipment Knowledge
– Proficiency with standard computer applications, recreation‑management software, and equipment maintenance workflows.
Other
– Ability to work some evenings/weekends and perform routine physical tasks such as equipment checks and facility walkthroughs.
Preferred Qualifications
Master’s degree preferred.
1‑2 years in collegiate recreation, fitness center operations, or campus‑based student employment environments.
Experience supervising, mentoring, or training student employees.
Experience coordinating schedules or supporting time and attendance processes.
Experience supporting program logistics, event operations, or on‑site recreation programming.
Knowledge of recreation center operations, facility flow, equipment safety, student development principles, and best practices in collegiate recreation (e.g., NIRSA).
Physical Requirements / Unusual Work Hours
Regular lifting & carrying of fitness equipment (must lift 45 lbs).
Early morning, late evening, and weekend hours required.
Potential outdoor facility work in various seasons with inclement weather.
Salary Range Grade 12 (Salaried). Salary range: $54,300 - $57,200. Final salary will consider qualifications, department budget, market data, and internal equity.
