Job Description An Executive Assistant is charged with providing high‑level, complex, and confidential administrative support to assigned firm executives (e.g., CEO, CFO, COO) by using administrative systems, procedures, and policies and monitoring and completing various administrative projects. This position requires providing support outside of standard business hours.

This is a variable hybrid role that may require occasional travel and on‑site support, based on the executive and/or office needs.

Job Duties

Manages complex calendars, schedules meetings, and coordinates travel arrangements for executives.

Prepares, edits, and distributes correspondence, reports, and presentations.

Organizes and maintains confidential files and records.

Coordinates logistics for meetings, events, and conference calls, including agenda preparation and minute‑taking.

Screens and directs incoming calls, emails, and visitors.

Liaises with internal and external stakeholders on behalf of executives.

Assists with expense reporting and invoice processing.

Supports special projects and initiatives as assigned.

Provides general office administrative support to a BDO office, as needed.

Other duties as required.

Qualifications

High School Diploma, GED, or equivalent (required).

Bachelor’s degree (preferred).

Five (5) or more years of administrative experience supporting organizational leadership or executives (required).

Professional services administrative experience (preferred).

Advanced proficiency in Microsoft Office Suite (required).

Experience with PeopleSoft, Oracle, or comparable ERP software (preferred).

Other Skills and Abilities

Ability to work in a deadline‑driven environment and handle multiple projects/tasks with attention to detail.

Excellent written and verbal communication skills, including superior grammar, spelling, and punctuation, that enable the incumbent to work with top‑level management and executive‑level clients.

Superior customer service skills.

Displays independent judgment, finesse, and diplomacy in all situations.

Consistently seeks to improve processes.

Excellent organizational skills.

Detail oriented, and capable of efficient and effective multitasking.

Capable of managing highly confidential information.

Ability to work well with all levels of management and external clients.

Ability to perform as a team player who is willing to help out as needed.

Compensation Illinois Range: $48.08/hr – $57.70/hr NYC/Long Island/Westchester Range: $48.08/hr – $57.70/hr
