Position Summary: The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and institution policy.

Duties & Responsibilities:

Maintain calendar, tracking and processing of proposed curriculum changes, and maintaining office databases

Handle office traffic and answer incoming phone calls, providing excellent customer service to students, faculty, and visitors.

Research and gather material/data on projects for use in meetings, reports, program assessment, etc. requested by supervisors.

Provide fiscal support for the department, including ordering and receiving goods, managing the department’s P-card and department travel card, reconciling accounts with the budget, preparing budget statements, working with fiscal staff in the dean’s office, completing EPAF and Taleo requisition requests, processing DocuSign and extra-comp forms, and assisting with GA staffing.

Serve as travel delegate for faculty and students, including creating travel authorizations and preparing expense reports.

Enter information and projects into university computer systems.

Establish document files and maintain files by updating and purging as needed.

Other duties as assigned.

Knowledge/Skills/Abilities:

Knowledge of work-related subject areas, computers, and software applications.

Ability to prepare, present, and review oral and written information and reports.

Ability to research and analyze program information.

Ability to develop, recommend, interpret, and apply policies and procedures.

Ability to analyze financial records and prepare reports.

Ability to plan, organize, and direct the work of others.

General Days/Hours: Monday - Friday

8:00 a.m. - 5:00 p.m.

Additional hours as requested and/or needed

Regular and reliable attendance

Other: Composing, typing, and editing various documents including letters, memoranda, reports, forms, and narratives.

Preferred Qualifications:

Experience with university financial systems (e.g., Banner) and Microsoft Office Suite preferred.

Customer service experience in an academic or office setting preferred.

Minimum Qualifications: The formal education equivalent of a High School Diploma.

Two (2) years of experience in a specialized or a related field applicable to work performed.

One (1) year of specialized training in business management, business education, or a related field.

Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee.
