Job Overview This role supports institutional operations across the college under the direction of the Director or Associate Director, handling financial and administrative duties for staff, faculty, and students.

Key Responsibilities

Procurement & Vendor Support: Process purchase orders and PCard transactions, assist with vendor enrollments, and serve as point of contact for procurement queries.

Accounts Payable & Reconciliation: Ensure timely invoice processing, manage expense transfers, and maintain accurate ledger reconciliation with HWCOE.

Travel Coordination: Support travel requests and reimbursements, keep audit‑ready records, and ensure compliance with university policies.

Financial Oversight: Monitor budgets, account balances, and encumbrances; run daily reports to uphold fiscal integrity.

Customer Service: Build relationships across departments and answer fiscal questions with clear guidance on purchasing and travel procedures.

Levels & Minimum Requirements

IFA (Fiscal Assistant I):

High school diploma or equivalent and one year of general accounts transaction experience.

FII (Fiscal Assistant II):

High school diploma or equivalent and three years of general accounts transaction experience.

FIIII (Fiscal Assistant III):

High school diploma or equivalent and five years of general accounts transaction experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Skills & Experience

Familiarity with basic accounting and budget principles in higher education or research settings.

Proficiency in Microsoft Office (Excel, Outlook, Word), PeopleSoft, and myUFL systems.

Strong communication, problem‑solving, and time‑management skills.

Ability to work independently and collaboratively in a fast‑paced environment.

Knowledge of UF procurement, travel, and disbursement procedures.

Compensation

Fiscal Assistant I: starting at $18.00/hr

Fiscal Assistant II: starting at $20.00/hr

Fiscal Assistant III: starting at $23.00/hr
