The Physics Department maintains a $10M annual portfolio of external awards across diverse physics research areas. A Research Administrator (I or II) will support all stages of sponsored research, from proposal development through award management and financial oversight, ensuring compliance with institutional and sponsor requirements.

Classifications

Research Administrator I : Bachelor’s degree or equivalent education and experience.

Research Administrator II : Bachelor’s degree and two years of grant/contract administration experience or equivalent education and experience.

Responsibilities

Pre‑Award : Interpret fundraising guidelines, review and validate proposal budgets and narratives, recommend revisions, advise PIs on formatting, create and route proposals in UFIRST, and collaborate on timely submissions.

Post‑Award Transactions : Monitor all award actions, adjust budgets, coordinate no‑cost extensions and fund releases, and resolve issues with DSP, C&G and Cost Analysis.

Post‑Award Management : Prepare financial reconciliations, manage personnel appointments and effort distribution, identify cost accounting violations, track institutional commitments, and coordinate financial reporting with PIs and C&G.

Other Duties : Attend relevant training, share policy updates, assess departmental processes for improvement, process PeopleSoft corrections, coordinate graduate student funding and office assignments, and report equipment use on sponsored programs.

Minimum Requirements

Bachelor’s degree or equivalent education and experience.

For Research Administrator II: Two years of grant and contract administration experience or equivalent.

Preferred Qualifications

Experience with myUFL, myinvestigator, UFIRST, Microsoft Office (Excel, Word, Teams).

Familiarity with UF sponsored program policies and procedures.

Excellent reading comprehension, written communication, and customer service skills.

Attention to detail, problem‑solving ability, and teamwork enthusiasm.

Salary Research Administrator I: $46,000 – $50,000 Research Administrator II: $53,000 – $60,000
